About the Role
This position is responsible for attending to and greeting visitors and answering telephone calls. Duties are limited to clerical tasks within the Reception/Administrative area, with no clinical involvement.
Responsibilities
- Provide general administrative and clerical support.
- Greet and welcome patients, clients, and other visitors with a friendly and positive demeanor.
- Answer telephone calls, take messages, or forward calls as needed.
- Check visitors in, direct or escort them to specific destinations, and inform employees of arrivals or cancellations.
- Maintain a visitor sign-in log.
- Handle incoming and outgoing mail.
- Schedule appointments and maintain meeting room bookings.
- Maintain and tidy the reception area.
- Schedule resident transportation for medical appointments.
- Agree not to disclose residents’ protected health information and report suspected or known violations.
- Maintain confidentiality of all resident care information, including protected health information.
- Perform other duties as assigned.
Requirements
- High school diploma or GED (required).
- Previous administrative or receptionist experience (preferred).
- Basic knowledge of Microsoft Suite products, clerical functions, and multiline phone systems.
Skills
- Ability to read, analyze, and interpret business documents, professional journals, technical procedures, or regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from managers and employees.
- Ability to apply mathematical concepts such as fractions, percentages, ratios, and proportions to practical situations.
- Ability to solve practical problems and interpret instructions in written, oral, diagram, or schedule form.
Physical Demands
- Occasionally lift and/or move up to 25 pounds.
- Prolonged use of a desktop or laptop computer.
- Regularly required to sit, stand, walk, talk, read, or hear.
- Frequent use of office equipment, including copier, scanner, fax, telephone, and calculator.
- No travel required.
