Job Summary

This position greets patients and family members promptly and courteously as patients arrive at the hospital. This position requires answering the telephone, providing requested information, taking messages, or directing the caller to the appropriate personnel. The Admitting Team Member will provide the interpretation of forms to be signed upon admission, including patient rights and living will questions, which will need to be reviewed for completeness, accuracy, and appropriate signatures. The Admitting Team Member will collect deposits and/or co-pays according to established guidelines. The associate will need to practice caution and use good judgment in relaying messages and giving information to patients, families, and visitors. Distributes appropriate information to ancillary departments. Participates in performance improvement and QI activities.

Responsibilities

  • Correctly pre-registers patients for Outpatient procedures, registers ER patients and inpatient admissions.
  • Notifies patient of estimated liability and documents in patient’s account.
  • Thoroughly interviews patients or their representative to obtain/verify current personal information.
  • Obtains all necessary signatures (including relationship of representative as necessary) and completes all items relating to patient’s registration.
  • Provides armbands and/or demographics sheets where necessary to aid in accurate patient identification.
  • Identifies the scheduled patient is verified.
  • Activates the patient account.
  • Applies the ID arm band.
  • Provides all packets/brochures to various patient types (e.g., admission packet to inpatients, HIPAA brochures to new patients, payment guidelines, living will, Medicare Rights and the Observation Self Administration Medication form).
  • Safely secures valuables taken home by patient representative(s) or secured in safe.
  • Communicates clearly and appropriately to Director of Patient Financial Services, Co-workers and physicians and our customers.
  • Performs up-front collections on all patients except emergency patients.
  • Directs patients unable to pay to the Financial Counselor during business hours.
  • Financial arrangements are made according to hospital policy.
  • Communicates with nursing to receive room assignments.
  • Correctly assigns appropriate service and accommodation.
  • Directs patients to appropriate departments for services to be rendered.
  • Performs cashiering duties regarding payment activity, cash balances, drawer and safe reconciliation, security, etc., at the beginning, end and during each shift.
  • Correctly completes and distributes daily census/hospital report.
  • Discharges patients to produce the ER Registration Log according to departmental policy and procedures.
  • Verifies insurance eligibility for all payors.
  • Contacts appropriate insurance, Carolina Access PCP, or HMO for required outpatient approval and certification numbers.
  • Assumes Communications duties and responsibilities.
  • Answers telephone calls in a polite and professional manner.
  • Correctly inputs Observation charges.
  • Demonstrates flexibility in adapting to job/shift changes and taking on other responsibilities.
  • Demonstrates good organization skills and functions well in stressful situations.
  • Interacts professionally with customers (internal and external) by treating them with dignity and respect.
  • Provides explanations and verbal reassurance as necessary.
  • Demonstrates excellent customer service skills, even in extreme circumstances.
  • Maintains a good working relationship with department co-workers, other departments, physician offices, and external agencies.
  • Assists in care and maintenance of department equipment and supplies.
  • Alerts supervisor to malfunction of equipment and any low amounts of department supplies.
  • Willingly performs other duties as directed/required.
  • Mets deadlines.
  • Must be willing to receive all required vaccinations (i.e., flu shot, etc.).

Requirements

Education: High School diploma or equivalent required. Experience Medical terminology desirable. Previous Registration experience desirable.

Skills

Personal Protective Equipment: Must be able and willing to wear appropriate Personal Protective Equipment (PPE) required to perform the job safely.
