About the Opportunity
The Fulfillment Associate supports critical member communications and day-to-day fulfillment operations to ensure the accurate and timely delivery of sensitive materials, including member ID cards, Welcome Letters, and Explanations of Benefits (EOBs). This role actively manages automated workflows, vendor interactions, quality assurance audits, and data reporting to maintain highly efficient operations and continuous process improvements.
Responsibilities
- Manage the end-to-end fulfillment lifecycle for core member communications, including production schedule coordination and real-time print/digital issue resolution
- Act as the primary operational liaison with external fulfillment partners and print vendors to seamlessly coordinate activities and maintain open lines of communication
- Oversee and execute meticulous quality reviews and approvals of fulfillment outputs to ensure strict compliance with regulatory standards and corporate branding guidelines
- Maintain, update, and improve digital fulfillment workflows, standard operating documentation, and team operational resources
- Monitor batch fulfillment statuses daily, proactively identify production risks, and coordinate rapid resolution efforts to mitigate delays
- Collect, aggregate, and analyze production and fulfillment metrics to support vendor performance tracking and continuous operational improvement
- Ensure all fulfillment processes comply with federal healthcare regulations, HIPAA privacy standards, and organizational compliance benchmarks
- Collaborate dynamically with internal cross-functional teams to align project requirements, data feeds, and inter-departmental coordination
Requirements
- Proven professional experience managing operational data processes and high-volume fulfillment workflows within strict, deadline-driven environments
- Demonstrated ability to effectively coordinate with external vendors, manage complex timelines, and hold partners accountable to service deliverables
- Intermediate to advanced software skills within Microsoft Office 365 (particularly Excel formulas and data sorting), alongside a strong capability to learn proprietary systems
- Strong analytical, organizational, and proactive problem-solving abilities to address system exceptions independently
- Proven capacity to manage multiple competing priorities concurrently while maintaining meticulous, accurate documentation
- Excellent verbal and written communication skills suited for professional vendor management and stakeholder reporting
- Exceptional attention to detail with an uncompromised professional commitment to numerical accuracy and data quality
- Preferred Qualifications: Direct experience working within the healthcare insurance, managed care, or employee benefits administration industries, practical, hands-on experience navigating specialized healthcare fulfillment platforms such as Zelis, NOMI, or Red Card, foundational technical familiarity running basic SQL queries and utilizing professional PDF editing software packages
Pay Range and Compensation Package
Target compensation framework: Baseline hourly or salary structures are determined dynamically based upon the candidate's core vendor coordination experience, healthcare data background, and fulfillment platform system fluencies.
