Responsibilities
- Greet patients warmly, ensuring they feel welcomed and comfortable upon arrival.
- Handle patient registration, verify insurance information, and assist with necessary paperwork.
- Manage the appointment calendar efficiently to optimize scheduling and minimize waiting times.
- Coordinate with oral surgeons and clinical staff to ensure optimal appointment availability.
- Answer incoming phone calls and respond to email inquiries promptly and professionally.
- Provide accurate information about services, appointments, and general office policies.
- Maintain and update patient records with accuracy and confidentiality.
- Ensure all necessary documentation is complete and organized for easy access by the clinical team.
- Collaborate with patients to verify insurance coverage, including prior authorizations and pre-determinations.
- Assist patients in understanding their insurance benefits and financial responsibilities.
- Coordinate administrative tasks such as ordering office supplies, managing mail, and working with vendors.
- Deliver exceptional customer service to ensure a positive patient experience from check-in to check-out.
- Address patient concerns and resolve any issues that may arise.
- Comply with all office policies, procedures, and protocols to maintain a safe and efficient working environment.
- Maintain confidentiality of all doctors, staff, and patient information.
Requirements
- High school diploma or equivalent.
- Proficiency in computer software applications.
- Strong organizational skills and attention to detail for managing patient records, scheduling, and administrative tasks.
- Professional language and customer service mindset.
- Effective written and verbal communication skills.
- Ability to use discretion while working with sensitive information.
- Excellent documentation, communication, and Microsoft Office skills.
- Passion for healthcare excellence.
Preferred Qualifications
- Proven experience as a Front Office Administrator, Receptionist, or similar role in a healthcare or dental setting.
Schedule
- Monday–Thursday: 7:45 AM–4:30 PM
- Friday: 7:45 AM–1:00 PM
- May require travel to other practice locations in Billerica and Worcester as needed.
