About the Role

The Front Office-Dental Services Patient Representative/Dental Assistant functions as a Wesley Health Center ambassador by welcoming and attending to the needs of all patients. This position creates a positive front office experience by managing patient expectations while demonstrating compassion and respect. The role integrates into the health care team, assisting in the delivery of patient-focused care and performing varied, moderately complex administrative and financial service support functions in a front office setting.

Responsibilities

  • Greet and verify the purpose of the patient’s visit to determine priority.
  • Verify and record patient eligibility and registration in the Electronic Practice Management System (EPM).
  • Monitor patient wait times and proactively communicate status updates.
  • Schedule appointments and ensure patients receive referral documentation as needed.
  • Manage telephone communications, ensuring courteous and prompt responses.
  • Conduct reminder calls to preserve high patient retention.
  • Communicate with the patient care team (medical assistants, providers, etc.) to ensure seamless transitions and meet all patient needs.
  • Maintain modern office practices, procedures, and organization.
  • Perform financial screenings for Dental Sliding Fee and enrollment into County or Government programs.
  • Review and prepare patient paperwork, such as registration forms and consents.
  • Collect patient co-pays and payments, reconcile daily collections, and enter transactions into EPM.
  • Understand and enforce the Dental Broken Appointment Policy for patients who no-show or cancel without notice.
  • Close front office-related open encounters weekly and communicate with the appropriate biller.
  • Ensure accurate recordkeeping, business accounting, and bookkeeping.
  • Monitor and maintain cleanliness of waiting areas.
  • Prepare reports and correspondence using correct business math, English usage, grammar, and punctuation.
  • Analyze administrative or technical problems and make effective recommendations.
  • Prepare accurate financial and statistical documents, reports, and correspondence.
  • Work independently, organize, prioritize, and coordinate work assignments to meet deadlines.
  • Adhere to organizational safety policies, procedures, and regulatory requirements.
  • Participate in required safety and compliance trainings and apply learned practices.
  • Identify, report, and help mitigate unsafe conditions, incidents, or hazards.
  • Use equipment, tools, and supplies safely and responsibly.
  • Maintain awareness of infection control, occupational health, and emergency preparedness procedures.
  • Perform other duties as assigned.

Requirements

  • Experience with NextGen and/or Dentrix.
  • High School diploma or GED certificate required.
  • One year of experience performing financial support duties.
  • Knowledge of Ryan White Funding for Oral Health Services.
  • Current California Driver’s License and ability to drive to and from clinic sites.
  • Prior dental billing experience.
  • Effective oral and written communication skills.
  • Ability to work with diverse social, ethnic, and economic backgrounds.
  • Ability to collaborate with healthcare professionals from various disciplines.
  • Ability to multitask, prioritize assignments, and meet deadlines.

Preferred Qualifications

  • Experience working in a dental front office or front desk.
  • Bilingual proficiency in English and Spanish.
  • Two years’ experience working as a Dental Assistant.
