About the role

The Front Office Coordinator plays a key role in delivering an excellent patient experience. This position requires a dependable, motivated team player with strong interpersonal skills and a professional attitude to thrive in a high-demand, fast-paced front desk environment. The role involves providing personalized care and administrative support in a busy medical office.

Responsibilities

  • Answer telephones, triage calls, take messages, and provide information.
  • Provide support services to patients and medical staff.
  • Schedule appointments and admissions as required.
  • Prepare patient charts and other office documents; scan and sort documents into the Electronic Health Record.
  • Attend staff meetings and maintain files.
  • Assist in updating office systems and inventory office supplies.
  • Assist in the care and maintenance of office equipment.
  • Book, coordinate, and reschedule patient appointments; relay messages to staff and doctors.
  • Answer questions regarding patient appointments, prescriptions, and testing.
  • Greet and register patients promptly and helpfully; verify and update patient records.
  • Assemble patient paperwork and forms for visits; request referrals and authorizations as needed.
  • Log payments, balance receipts, and ensure copays are balanced and reports are properly produced.
  • Oversee the reception area, coordinate patient movement, and report irregularities.
  • Maintain patient confidentiality and adhere to company “Best Practices.”
  • Perform other related work as assigned or required; may require working in multiple locations.

Requirements

  • High school diploma or General Educational Development (GED) certificate required.
  • Completion of business school or related training, including computer courses preferred.
  • One (1) year of progressive responsibility and directly related work experience.
  • Experience with, and proficiency in, electronic medical records; use of EPIC software a plus.
  • Computer proficiency in Microsoft Office.
  • Bilingual in Spanish desired.

Skills

  • Ability to speak, read, and write English clearly.
  • Knowledge of medical office procedures, grammar, spelling, and punctuation.
  • Basic arithmetic skills for calculations, balancing, and reconciling figures.
  • Skill in operating a computer, fax, and copy machine.
  • Ability to read, understand, and follow oral and written instructions.
  • Ability to speak clearly and concisely.
  • Ability to establish and maintain effective working relationships with patients, employees, and doctors.

Benefits

Pay

$22.50 - $27.00 - $31.50 per hour.

Schedule

  • 8-hour day shifts.
  • 40 scheduled weekly hours.
