Front Office Coordinator
About the Role
Work closely with WellPower staff to ensure efficient administrative and clerical support to Program Manager(s) in charge of clinic and/or teams at a site. Assist Front Office Managers and Clinical Program Manager in all aspects of job as needed.
Responsibilities
- In Front Office Manager's absence, provide for coordination of clinic needs and program.
- Perform a variety of administrative duties to ensure the smooth running of the clinic.
- Provide back-up support for PASSR and other clinical documentation.
- Assist with coverage needs at various WellPower locations, including paid time off, sick, break, and lunch coverage for Administrative Assistants.
- Manage daily operations of the front desk, including scheduling, confirming appointments, checking in clients, verifying demographics, insurance verification/eligibility, collecting payments/copays, and other administrative tasks.
- Maintain accurate records of insurance verification, eligibility confirmations, and co-pays collected.
- Update training documents and assist with training for new Administrative Assistants.
- Organize, compose, and produce letters, memoranda, reports, and other documents for managers.
- Collect program data, maintain database systems, and provide basic analysis and reporting.
- Maintain calendars and schedule appointments and meetings.
- Receive and screen clinic telephone communications.
- Schedule consumer appointments with psychiatrists, nurses, and other clinical staff, collect co-pays if applicable, and manage appointment scheduling systems.
- Coordinate, file, maintain, and update consumer medical records, ensuring accuracy and confidentiality.
- Sort and distribute incoming mail and prepare outgoing mail.
- Maintain a trauma-informed environment of wellbeing.
- Perform other duties as assigned, based on individual site needs.
Qualifications
- High School Diploma or equivalent; some college preferred.
- Minimum 2 years of experience in administrative, receptionist, or customer service roles.
Work Location
4455 E 12th Ave, Denver, CO 80220 (Hybrid with a few days in office per week)
Shift/Hours
Monday – Friday, Standard Business Hours
Physical Requirements
This largely sedentary role requires frequent computer use, effective communication, manual dexterity for typing, and visual acuity for reading and analyzing on-screen data. Pay
$28.62 - $40.11 per hour
