The Front Office Coordinator plays a pivotal role in ensuring the smooth and efficient operation of the front desk within a healthcare or social assistance setting. This position serves as the first point of contact for patients, visitors, and staff, providing exceptional customer service and managing communications with professionalism and empathy. The coordinator is responsible for organizing patient appointments, maintaining accurate records, and facilitating effective communication between departments to support seamless patient care. By managing administrative tasks and coordinating front office activities, this role directly contributes to enhancing patient satisfaction and operational efficiency. Ultimately, the Front Office Coordinator supports the healthcare team by creating a welcoming environment and ensuring that front office processes align with organizational standards and compliance requirements.

Minimum Qualifications

High school diploma or equivalent. Proven experience in a front office or administrative role, preferably within a healthcare or social assistance environment. Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office Suite). Strong communication and interpersonal skills. Basic knowledge of medical terminology and healthcare office procedures.

Preferred Qualifications

Associate degree or higher in healthcare administration, business, or related field. Experience with insurance verification and billing processes. Familiarity with HIPAA regulations and patient privacy standards. Bilingual abilities, particularly in Spanish or other commonly spoken languages in the United States. Certification in medical office administration or related credentials.

Responsibilities

Greet and assist patients, visitors, and staff in a courteous and professional manner. Manage patient appointment scheduling, cancellations, and follow-ups using electronic health record (EHR) systems. Answer and direct incoming phone calls, respond to inquiries, and relay messages accurately. Maintain and update patient records, ensuring confidentiality and compliance with HIPAA regulations. Coordinate communication between clinical staff, patients, and external service providers to facilitate smooth operations. Handle administrative duties such as processing patient intake forms, verifying insurance information, and managing billing inquiries. Monitor and maintain the organization and cleanliness of the front office area. Assist with the preparation of reports and documentation as required by management.
