Front Office Support at UCHC plays a critical role in ensuring seamless patient experiences and efficient administrative operations. This role serves as the face of UCHC, handling various tasks that facilitate the smooth functioning of the healthcare facility.

Responsibilities

  • Welcome patients as they contact the clinic personally or by telephone; answer or refer inquiries.
  • Explain services available, payment options, and billing procedures.
  • Schedule appointments; direct walk-in patients and emergencies as per established policies and procedures.
  • Answer all incoming calls and route them to the appropriate staff.
  • Register all patients per registration protocol, collect all documentation, verify, update, and input information into EMR.
  • Protect patients' rights by maintaining confidentiality of personal and financial information.
  • Generate route slips for each patient and ensure all services provided have been checked out properly.
  • Review and verify patient coverage of insurance or other agencies and compute charges to be paid by the patient.
  • Collect deposits, co-pays, or deductibles prior to the patient being seen by the provider per established policies.
  • Inform patients of their outstanding balance, collect said balance, and issue cash receipts when monies are collected.
  • Work closely with physicians, physician assistants, medical assistants, and staff to ensure smooth patient flow and reduce waiting time.
  • Assist patients in distress by responding to emergencies.
  • Call and remind patients of appointments; follow up on "no-show" patients daily.
  • Communicate patient problems or complaints to the office manager or designee.
  • Maintain operations by following policies and procedures; report needed changes.
  • Make copies, send, and receive faxes.
  • Ensure the reception area is clean and orderly.
  • Open and close the office.
  • Perform other related duties as required.

Requirements

  • High School Diploma or equivalent.
  • Excellent phone communication and customer service skills.
  • Ability to work well with constant interruptions and relate to patients, with familiarity in medical terminology and triage procedures.
  • Familiarity with CHDP, Medical, Family Pact, PPO, Cover California, Medi-Cal/Medicare.
  • Computer experience required; EMR experience required.

  • Understanding of community-based organizations.

  • Excellent phone and organizational skills, with the ability to prioritize.
  • Ability to present oneself and the company in a professional manner.
  • Proficient in the use of personal computers, internet, Adobe Acrobat, MS Word, and Excel.
  • Attention to detail and strong interpersonal and customer service skills.
  • Bilingual: English/Spanish required.

Physical Requirements

  • Occasional light lifting up to 25 pounds, bending, stooping, or squatting.
  • Considerable walking may be involved.
  • Ability to sit or stand for extended periods of time.
  • Flexibility to work in multiple locations throughout the week.
  • Finger dexterity and hand coordination required.
  • Specific vision abilities: close vision, distance vision, ability to adjust or focus.

Work Environment

  • Exposure to adverse conditions, extreme heat, cold, wet and/or humid conditions.
  • Exposure to moving mechanical parts, high or precarious places, fumes, airborne particles, toxic or caustic chemicals.
  • Exposure to outside weather conditions, possible risk of electrical shock, explosives, radiation, and vibration.
  • Protective clothing or equipment may be required, including gloves, helmets, steel-toed boots, and protective eyewear.
  • High noise level in the work environment.

Pay

$25.00/hour
