Front Desk Scheduler

Duties and Responsibilities

  1. Answers, screens, and transfers inbound phone calls
  2. Screens and routes visitors and clients
  3. Performs general clerical duties including photocopying, faxing, and mailing
  4. Maintains the electronic and hard copy filing system
  5. Retrieves documents from the filing system
  6. Oversees requests for information and data
  7. Solves administrative problems and inquiries
  8. Prepares work/school excuse documents
  9. Prepares and modifies documents including correspondence, reports, drafts, memos, and emails/Team’s messages
  10. Schedules and coordinates meetings, appointments, and conference room availability
  11. Maintains office supply inventory
  12. Covers for the Clinical staff with administrative tasks
  13. Intakes referrals and communicates with physician offices
  14. Ensures the lobby is organized
  15. Greets and welcomes all visitors
  16. Flexibility to cross-train and learn new skills as appropriate

Requirements

  • High school diploma or GED
  • One to two years related experience and/or training
  • Equivalent combination of education and experience
  • Medical office administration and clinical research experience preferred

Qualifications

  • Valid driver's license and personal auto insurance
  • Fluency in Spanish
  • Excellent written and oral communication skills
  • Organizational skills

  • Knowledge of Microsoft Office Suite, including Microsoft Outlook

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  • Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs

Education/Experience

High school diploma or general education degree (GED); and one to two years related experience and/or training; or equivalent combination of education and experience.
