Job Summary
The Customer Service – Front Desk Representative is responsible for assisting clients at the front desk reception area. The Front Desk Representative also coordinates and organizes appointments and documentation to facilitate the smooth running of reception area.
General Summary of Duties
- Provides a positive first impression of Kitsap Mental Health Services to clients and visitors by extending a cordial welcome and assisting with needs.
- Maintains and schedules appointments following agency scheduling policies.
- Performs patient registration tasks to facilitate customer service. (e.g. schedules patient appointments, takes phone calls, register and update demographics for client accounts).
- Updates client billing information.
- Processes payments and co-payments.
- Maintains and manages clients records.
- Keeps the lobby entrance tidy (e.g. picks up trash).
- Alerts housekeeping or maintenance of more extensive needs.
- Provides direction and wayfinding assistance to clients and visitors.

Minimum Qualifications
- EXPERIENCE: Experienced (minimum 2 years of customer service experience)
- PREFERRED QUALIFICATIONS: High School Diploma or GED; Course work in medical/psychiatric terminology; Experience using an Electronic Medical Record (EMR).
Performance Requirements
- KNOWLEDGE: Working knowledge of healthcare insurance; Knowledge of electronic medical records; Knowledge of general administrative and clerical procedures.
- SKILLS: Skill in establishing and maintaining effective working relationships with other employees, clients, organizations, and the public; Interpersonal Skills: Courtesy, tact, and diplomacy are essential elements of the job.
- ABILITIES: Demonstrated ability to work in stressful situations (i.e., clients in crisis, numerous telephone calls); Demonstrated ability to work independently and as a team member; Adaptability – able to adjust approach to meet changing demands and situations including dealing with diverse people.

- Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Mental/Physical Requirements
- While performing the job duties, the employee must walk, sit, use hands and fingers, reach with arms, talk, or listen.
- Frequent mobility and/or sitting required for extended periods.
