About the Role
As a Front Desk Representative, you will ensure all aspects of the check-in and check-out process are handled in an organized and efficient manner. This includes collecting co-pays, deductibles, and patient balances, obtaining credit card on file agreements, and scheduling follow-up appointments, diagnostic testing, and specialty injection appointments.
Responsibilities
- Prepare the office/zone to receive patients by turning on lights, unlocking front doors, and ensuring appropriate sign-in sheets are placed on the front desk counter.
- Greet patients upon arrival with a smile, introduce yourself, and welcome new patients to the practice.
- Inform patients of any delays in clinic/wait times.
- Provide patients with the intake tablet and instructions on how to use it; assist patients having difficulty.
- Ensure patients complete all required intake information.
- Verify the patient’s photo identification and insurance card(s) match the information in the patient’s Athena account; scan new insurance cards and email the Benefits Department with any changes.
- Verify a valid authorization is present in the patient’s Athena account.
- Ensure the patient’s insurance benefits have been verified within the past 90 days.
- Collect all co-pays, deductibles, co-insurance, and outstanding patient balances.
- Inform patients of the credit card on file process and obtain signed agreements.
- Begin the check-in process in Athena; print financial agreements or advanced beneficiary notices and obtain patient signatures.
- Upload outside patient imaging CDs into Medview PACS system.
- Prepare all paperwork for the next day’s clinic.
- Schedule patient follow-up appointments.
- Complete end-of-day batches, process required disability form payments, and scan daily batches into the Z drive; forward documents for scanning to Patient Records.
- Ensure clinics run smoothly by informing the Zone Lead or Supervisor of any problems or issues for quick resolution.
- Perform all other duties as assigned.
Requirements
- High School Diploma.
- 2 years of experience in a medical environment.
