Front Desk / Office Coordinator
6-month contract, full-time, on-site in Mountain View, CA (Monday–Friday).
About the role
Our client is looking for an outgoing, detail-oriented Front Desk & Office Experience Coordinator to join us on a 6-month contract at their Mountain View headquarters. This person will be the friendly first face of the company—welcoming visitors and employees with warmth and professionalism—while also driving the research, planning, and logistics behind team offsites, events, and everyday office life.
We're looking for someone who genuinely loves talking to and connecting with people, brings positive energy to the office every day, and is the kind of person who, when asked to plan an offsite, comes back within a day with three great venue options, a clear comparison, and a strong recommendation.
Responsibilities
- Front Desk & Guest Experience
- Greet and welcome visitors, candidates, and guests with a warm, polished, and professional presence—you're the first impression of the company.
- Manage incoming calls, deliveries, mail, and front desk inquiries.
- Genuinely enjoy talking with and connecting with people—employees and guests alike—throughout the day.
- Keep the reception and common areas clean, organized, and welcoming.
- Event, Offsite & Activity Planning
- Research venues, vendors, and options for offsites, team events, happy hours, and celebrations—and turn that research into a clear, well-organized comparison including location, cost, capacity, pros/cons, and a recommended choice with supporting rationale.
- Own end-to-end logistics for events, including booking, catering, transportation, supplies, and day-of execution.
- Bring creative, well-thought-out ideas for food, activities, and entertainment that keep the team engaged and having fun.
- Coordinate with vendors, delivery services, and outside help—comfortable directing others and “running point” to get errands and logistics done efficiently.
- Office Operations Support
- Keep office supplies, snacks, pantry, and everyday essentials stocked and organized.
- Handle the day-to-day details that keep the office running smoothly—from lunch orders to meeting room setup to ad hoc requests.
- Proactively spot what the office or team needs before being asked, and follow through independently.
- Support other light administrative tasks as needed.
- HR Coordination
- Help schedule and coordinate candidate interviews across stakeholders as needed.
- Support onboarding logistics for new hires, including desk setup, welcome essentials, and first-day walkthroughs.
- Assist with occasional recruiting events or employee activities in partnership with the People team.
Requirements

- Strong research and organizational skills—able to independently gather options, compare trade-offs, and present clear, well-reasoned recommendations.
- A natural planner who enjoys thinking through the details of events, meals, and team activities.
- Comfortable coordinating and directing vendors or runners to get errands and logistics done.
- Reliable, detail-oriented, and able to juggle multiple things at once in a fast-paced environment.
- Available for a 6-month, full-time, on-site contract in Mountain View, CA, Monday–Friday.
Preferred Qualifications
- Prior experience in front desk, office/workplace coordination, hospitality, or event planning.
- Professional fluency in both English and Mandarin Chinese is a plus.
