Responsibilities
- Welcome patients and visitors with a friendly and professional demeanor.
- Check-in patients, verify insurance information, and update patient records accurately.
- Schedule appointments and manage appointment calendars for healthcare providers.
- Answer phone calls, respond to inquiries, and direct calls to the appropriate personnel.
- Care for patient relations and communication, handling inquiries, concerns, and complaints professionally and promptly.
- Maintain a clean and organized front desk area and waiting room for a positive patient experience.
- Oversee day-to-day office operations and ensure smooth workflow.
- Manage office supplies, equipment maintenance, and vendor relationships.
- Train and supervise administrative staff members to ensure efficient front desk operations.
- Cook up staff schedules and manage time-off requests.
- Aid with administrative tasks such as filing, data entry, and correspondence.
- Process patient billing statements, claims, and payments accurately and efficiently.
- Verify insurance coverage, submit claims, and follow up on outstanding accounts receivable.
- Address billing inquiries from patients, insurance companies, and third-party payers.
- Monitor billing reports, identify billing errors, and reconcile discrepancies.
- Ensure compliance with billing regulations, including HIPAA and insurance guidelines.
- Prepare and maintain reports related to front desk activities, office management, and billing.
- Update and maintain electronic health records (EHR) and patient databases accurately.
- Aid with documenting office policies, procedures, and training materials.
Qualifications
- A high school diploma or equivalent; an associate or bachelor's degree preferred.
- Proven experience in medical reception, front desk coordination, office management, and medical billing.
- Strong knowledge of medical terminology, insurance billing procedures, and electronic health records (EHR) systems.
- Proficient in computer skills, including Microsoft Office Suite (Word, Excel, Outlook) and billing software.
- Excellent communication, interpersonal, and customer service skills.
- Detail-oriented with strong organizational and multitasking abilities.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Knowledge of HIPAA regulations and patient privacy laws.
- Experience in supervising or training staff members is a plus.
- Flexibility to work occasional evenings or weekends as needed.
