We are looking for a Front Desk Assistant to support daily front office operations and help create a welcoming experience for residents, guests, and community members in California. This is a contract-to-permanent position ideal for someone who is organized, service-focused, and comfortable balancing reception duties with administrative support in a fast-paced environment.

Responsibilities

  • Welcome visitors, provide directions, and respond to general questions with a thorough and helpful approach.
  • Manage incoming calls through a multi-line phone system, route calls appropriately, and record accurate messages when needed.
  • Support facility and room scheduling by coordinating setup needs with individuals, community groups, and club representatives.
  • Assist with planning and coordinating community programs and special events, including social gatherings, performances, and celebrations.
  • Enter and maintain scheduling information, helping prepare recurring calendars and related administrative records.
  • Collect program or event fees, issue tickets, and handle basic front desk transactions accurately.
  • Prepare reports, compile data, and assist with special projects to support departmental operations and planning.
  • Keep public information areas current by restocking flyers, updating posted notices, and maintaining community boards.
  • Monitor front desk activity and communicate facility, equipment, or visitor concerns to the appropriate staff or security team.
  • Provide administrative support to department leadership, including help with marketing materials and routine office documentation.

Requirements

  • At least 2 years of experience in front desk, receptionist, or administrative office support.
  • Proficiency with multi-line phone systems, inbound call handling, data entry, and general clerical work.
  • Working knowledge of Microsoft Word and Microsoft Excel, with the ability to create reports and maintain organized records.
  • Strong verbal and written communication skills, with the ability to interact effectively with a wide range of visitors and community members.
  • Demonstrated ability to manage multiple priorities, stay composed under pressure, and resolve routine issues professionally.
  • Comfortable working a flexible schedule that may include daytime, evening, weekend, and holiday hours.
  • Ability to support event-related operations and work effectively in a high-volume, customer-facing environment.
  • Valid California driver’s license and current automobile insurance.
