About the role

The Front Desk Administrator / Receptionist will be the first point of contact for visitors, clients, and employees, ensuring smooth front-office operations and providing administrative and customer service support.
Responsibilities
- Greet visitors and staff with professionalism and ensure a welcoming environment.
- Manage the reception area by maintaining cleanliness and organization.
- Handle incoming calls, emails, and inquiries, directing them to the appropriate department or individual.
- Aid in the preparation and distribution of correspondence, such as letters, memos, and meeting invitations.
- Provide prompt and courteous assistance to visitors, customers, and staff.
- Address basic customer queries and escalate complex issues to the Front Office Manager.
- Aid in resolving minor complaints or concerns efficiently.
- Maintain accurate records, such as visitor logs, office supplies inventory, and employee schedules.
- Prepare daily, weekly, or monthly reports as requested by management.
- Aid in the scheduling of meetings, including booking rooms and preparing necessary materials.
- Aid in the proper distribution of incoming and outgoing mail and courier packages.
- Support office staff by organizing workstations and ensuring all necessary tools and materials are available.
- Aid in onboarding new staff by providing necessary documentation and guidance.
- Monitor stock levels of office supplies and requisition replenishments as needed.
- Organize and maintain the supply room for easy access and inventory tracking.
- Aid in maintaining security procedures, including issuing visitor badges and monitoring access to restricted areas.
- Aid in organizing internal and external events, ensuring logistical arrangements are in place.
- Support HR functions, such as drafting letters, creating Crew ID cards, handling on-boarding and off-boarding, and other HR initiatives.
- Update and maintain electronic and physical filing systems for easy access and compliance.
- Aid in the accurate entry of data into company software and generating reports when required.
- Report any maintenance or technical issues in the office to the relevant department or service provider.
- Aid in organizing repairs or improvements to ensure a functional and comfortable workspace.
