About the role
The Provider Support Specialist (PSS) serves as first-tier support for provider members, delivering high-level customer service and follow-through for the administrative tasks of their independent businesses. This role builds and maintains professional relationships with providers, participates in company-wide workflows, and becomes an expert on all relevant administrative needs of the providers they serve. The PSS drives company growth by ensuring providers can practice productively and efficiently, requiring proactive communication and critical thinking to meet individual provider needs.
You will work closely with the Office Manager, Intake Department, and Billing and Collections Teams to resolve requests. The role relies on strong organizational systems, documentation, creativity, and follow-through. Ideal candidates have customer service skills, a passion for learning, and backgrounds in restaurant or hospitality.
Responsibilities
- Collaborate with the Office Manager to set goals, manage outcomes, and provide timely follow-through for complex tasks.
- Create a warm and welcoming atmosphere for clients using active listening and an empathetic tone.
- Follow check-in procedures to ensure accuracy of demographics, collect balances due, and schedule future appointments.
- Process a high volume of inbound and outbound emails and provider support chats, ensuring HIPAA compliance and obtaining required ROIs.
- Become an expert in provider practice aspects, including messaging, schedule management, and intake procedures.
- Provide excellent customer service over the phone, in person, and via email to clients and providers.
- Maximize providers' schedules by scheduling new and returning clients.
- Support clients and providers with technology troubleshooting, including patient portal and telehealth module questions.
- Maintain HIPAA guidelines and ensure PHI security at all times.
- Address client complaints and escalate to the Office Manager when necessary.
- Assess current processes and recommend improvements.
- Collaborate with the Office Manager to communicate ideas and discover solutions.
- Maintain a professional office environment, ensuring cleanliness, tidiness, and a welcoming atmosphere.
Requirements
- Previous experience in a customer support role.
- Professional written and verbal communication skills.
- Strong attention to detail with the ability to multi-task, set priorities, and manage time effectively.
- Team player mentality with open communication with the management team.
- Flexibility to work Monday-Friday 7:00am-8:00pm and Saturday 8am-4pm (shift offered: Monday-Friday 7:00am-3:00pm with rotating Saturdays).

Pay
$20.00 per hour.
Schedule
