What You'll Do

  • Greet and assist drivers, vendors, and visitors at the front desk.
  • Handle incoming calls, emails, and correspondence related to fleet operations.
  • Provide exceptional customer service and professional communication across all interactions.
  • Schedule and track vehicle maintenance, inspections, and repairs.
  • Maintain accurate records of service history, work orders, and parts inventory.
  • Monitor and update fleet management software and databases.
  • Aid technicians with administrative needs, including documentation and communication.
  • Prepare reports on maintenance activities, costs, and compliance metrics.
  • Ensure adherence to DOT, OSHA, and company safety standards.
  • Maintain organized files and ensure recordkeeping accuracy.
  • Perform general office duties such as filing, data entry, and ordering supplies.
  • Assist the Fleet Administrative Manager with special projects and operational support.

What You'll Bring

  • A high school diploma or equivalent; an associate degree preferred.
  • At least 2 years of administrative experience, preferably in a fleet, maintenance, or logistics environment.
  • Proficiency in Microsoft Office Suite and fleet management software.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Knowledge of vehicle maintenance terminology and procedures is a plus.
