Kavaliro is seeking a personable, detail-oriented, and highly organized Front Desk Receptionist to serve as the face of our client's Jacksonville office. In this role, you'll create a welcoming experience for visitors, support daily office operations, and provide administrative assistance to our client's Sales Leadership Team.
Location: Jacksonville, FL (Onsite)
Pay: $17-22 per hour
Responsibilities
- Greet and assist visitors, clients, vendors, and employees while delivering a professional and welcoming experience.
- Answer, screen, and direct incoming phone calls and inquiries.
- Oversee visitor check-in procedures and help maintain office security protocols.
- Receive, organize, and distribute incoming mail, packages, and courier deliveries.
- Ensure the reception area, conference rooms, and shared office spaces remain clean, organized, and presentation-ready.
- Coordinate meeting room schedules and assist with meeting preparation as needed.
- Maintain accurate electronic and physical filing systems.
- Monitor office, breakroom, and workplace supply inventories, placing orders as necessary.
- Assist with travel coordination, meeting logistics, and general office administrative tasks.
- Handle confidential and sensitive information with discretion and professionalism.
- Provide administrative support to the Sales Executive Team, assisting with daily activities and special projects.
- Manage the full expense reporting process for Sales leadership, ensuring reports are accurate, complete, and submitted in accordance with company policies and deadlines.
- Assist with additional administrative requests and cross-functional initiatives as business needs evolve.
Requirements
- High school diploma required; Associate's or Bachelor's degree in Business Administration, Office Management, or a related field preferred.
- 1+ years of experience in a receptionist, administrative assistant, office coordinator, or similar support role.
- Experience preparing and submitting employee expense reports.
- Proficient with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Strong verbal and written communication skills with the ability to interact professionally at all levels.
- Excellent organizational, time management, and multitasking abilities.
- Capable of working independently while effectively managing competing priorities.
- Strong attention to detail and a customer-service mindset.
- Demonstrated ability to maintain confidentiality and exercise sound judgment.
Preferred Qualifications
- Experience supporting executives or senior leadership.
- Previous experience in a corporate, technology, or other fast-paced business environment.
- Administrative support experience within a Sales, Commercial, or Business Development team.
Physical Requirements
This position requires frequent sitting and walking throughout the workday, along with occasional lifting of office supplies or packages weighing up to 20 pounds.
