Responsibilities
- Provides administrative support to several leaders and works with employees at all levels to complete projects of a complex and confidential nature
- Greets and provides quality services to clients, donors, and volunteers upon arrival
- Utilizes client management system to track client services
- Ensures the safety of clients and employees by monitoring visitors and/or guests entrance into the building
- Ensures appropriate client supervision and client compliance with policies
- Aids in preparing for special events and training. I.e. purchasing supplies, ordering food, set up
- Answers front desk telephone and directs all calls accordingly
- Enters maintenance work orders
- Analyzes problems, determines possible effective solutions, compiles and analyzes data, and prepares recommendations
- Collaborates with departments and outside parties to coordinate activities
- Performs a variety of clerical duties, including, but not limited to data entry, filing, taking messages, recording and transcribing meeting minutes, sorting and distributing mail, desktop publishing, correspondence, copying, scheduling appointments, etc.
- Aids in coding and submitting invoices and credit card statements
- Orders, monitors, and disperses office supplies
- Prepares and maintains weekly service and statistical reports
- Responds to inquiries or complaints from clients, volunteers, agencies, or the business community
- Aids in medical or mental health emergencies as needed
- Aids in de-escalating client conflict
- Trains volunteer receptionists
- Works closely with volunteer department to ensure volunteers are scheduled and calendars are created
Qualifications

- Strong computer literacy in MS Office applications with concentration in Excel and PowerPoint, and experience working in a donor database, Salesforce experience preferred
- Able to thrive in a fast-paced environment where multitasking is constant
- Good organizational, interpersonal, communication, and time management skills
- Diligent and reliable in following through on commitments
- CPR and First Aid Certification obtained within 90 days after hired
- This role will occasionally travel from campus to campus or other locations in the Atlanta area to assist with continuity in providing services
- Valid driver’s license, good MVR, and must be older than 21 years of age to drive company vehicles
- Must have the ability to remain in a stationary position (standing, sitting and/or walking)
- Must have the ability to stoop, kneel, crouch, or crawl
- Must be able to occasionally ascend/descend stairs
- Must be able to distinguish, determine and detest taste or smell
- Must have the ability to constantly operate a computer and other office equipment, such as a copy machine, calculator, and computer printer
- Must be able to communicate accurate information
- Must be able to occasionally lift up to 25lbs
