About the role
Tomorrow is partnering with a creative experiential studio to find a freelance Senior Producer specialising in Food & Beverage for a large-scale event supporting a global technology and design client. They are looking for an experienced producer to lead the planning, coordination and onsite delivery of an F&B programme serving up to 6,000 attendees, alongside crew, staff and production teams. Working closely with the Logistics Executive Producer, venue catering partners and wider production team, you'll oversee everything from attendee service and VIP hospitality to crew meals and back-of-house operations. This is a part-time freelance engagement spanning pre-production through event delivery and wrap, requiring strong catering knowledge, confident vendor management and a hands-on approach onsite.
Responsibilities
- Own the overall F&B production plan across attendee service, crew and staff meals, VIP hospitality, green rooms, receptions and partner areas.
- Develop timelines, staffing and service plans, integrating F&B requirements into the wider production schedule.
- Work closely with venue catering teams on menus, quantities, equipment, rentals, staffing and back-of-house requirements.
- Coordinate deliveries, access, storage, refrigeration and replenishment across a large event footprint.
- Track attendance projections and meal counts, adapting plans as registration, staffing and production schedules evolve.
- Manage dietary and allergen requirements, ensuring clear communication and appropriate labelling with catering partners.
- Support budget tracking, estimates, approvals, invoices and reconciliation.
- Coordinate external F&B vendors and oversee up to three support staff.
- Act as the primary onsite F&B contact during load-in, event days and any required load-out, maintaining service standards and resolving operational issues.
- Support post-event wrap, including final counts, expenses and recommendations.
Requirements
- At least five years' experience producing large-scale events, conferences, festivals or corporate experiences, with substantial F&B responsibility.
- Proven experience delivering F&B programmes for 5,000-6,000+ attendees, alongside large onsite crews and staff.
- Strong knowledge of large-scale catering operations, venue F&B, crew catering and event logistics.
- Experience managing catering companies, venue partners, rental suppliers and multiple event vendors.
Skills
- Excellent organisation and communication skills, with the ability to coordinate multiple service areas and changing requirements.
- A practical, proactive approach to anticipating challenges and making decisions under pressure.
- Availability for onsite work and extended production schedules during load-in, event delivery and any required load-out.
- Experience with budgets, estimates, invoicing and cost tracking is preferred.
