Freelance In-Person Event Specialist - Boston, MA

Responsibilities

  • Coincide with the on-site team during in-person events: setup, alignment, teardown, cleaning, issue resolution, and ensuring high-quality customer experience.
  • Represent Visit.org at events and solve problems.
  • Manage the check-in process for in-person events, offering a warm welcome to guests.
  • Handle unexpected issues like missing supplies, late staff, technology challenges, etc., and escalate them to the Events Team.
  • Provide regular updates, photos, and videos to the Events Team during the event.
  • Assist with the breakdown after the event, cleaning the site and repackaging and shipping all materials back to the distribution center.
  • Manage supplies and add shipping labels, which may include loading boxes.

Requirements

  • Fluency in English and strong communication skills.
  • Experience in complex, large-scale events and smaller executive-level intimate events.
  • Experience in executing events at the highest level and continuously raising the bar on content and the customer experience.
  • Resourcefulness, ability to handle pressure, and a solutions-oriented mindset in ambiguous situations.
  • Quick thinking and problem-solving skills, even in fast-paced situations.
  • Self-starter who is organized and detail-oriented.
  • Ability to work flexible hours, including nights and weekends, as needed.
  • Willingness and eagerness to travel to various areas of the local region.
  • Super strong interpersonal and customer service skills, especially in fast-paced situations.
  • Able to wear many hats and take on varied tasks and projects.
  • Physical demands: able to lift, slide, and carry up to 30 lbs. and stand for an extended period of time.

Schedule flexibility with availability to work on a contract per-event basis, as needed.
