Responsibilities
- IOLTA Trust Accounting & Compliance: Execute complex, multi-month historical trust account cleanups and reconciliations. Perform mandatory monthly 3-way reconciliations (matching bank statements to the general ledger trust account and individual client matter ledgers) to guarantee strict State Bar compliance.
- Serve as the direct, primary point of contact for law firm partners. Proactively communicate financial updates, manage client onboarding, resolve discrepancies, and field operational inquiries unassisted.
- Manage daily synchronization and mapping between core cloud accounting ecosystems (QuickBooks Online, Xero) and legal practice management/billing software (Clio, Tabs3, TimeSolv, MyCase).
- Track billable attorney hours, process monthly client invoices, handle collections, and navigate strict corporate or insurance e-billing portals (e.g., CounselLink, TyMetrix, Bottomline, Legal Tracker).
- Run daily data entry, accounts payable, credit card tracking, bank-to-book cash matching, payroll processing tracking, and annual 1099/1096 compliance filings for assigned firms.
- Generate, self-verify, and present accurate monthly Profit & Loss statements, Balance Sheets, and Cash Flow metrics to firm partners. Correct accounting errors independently before client delivery.
- Direct partner-facing management of 10–15 law firms. Handles everything from daily data entry to multi-month messy IOLTA trust cleanups and partner-facing calls. Billing portals (Clio, etc.), bank/CC accounts, accounts payable, and final, self-reviewed financial reporting packages. Includes optional payroll, AP/1099 reporting if required.
Requirements
- 4+ years of full-charge bookkeeping or accounting experience within a professional services environment. Direct legal accounting experience is non-negotiable.
- Advanced, hands-on proficiency with QuickBooks Online and Clio (or equivalent legal tech platforms).
- Extensive, demonstrable experience in law firm accounting workflows.
- Proven ability to balance a balance sheet, manage fixed assets, execute accrual/adjusting entries, and untangle severely neglected trust accounts.
Qualifications
- Education: Associate or bachelor’s degree in accounting or finance, or equivalent senior-level accounting field experience.

$60,000 - $70,000 annually based on experience.
