About the role

The Design Assistant & Client Specialist reports directly to the Design Manager and ensures the company image is consistent with branding. You will assist clients by providing product and service information and handle various administrative tasks.

Personality characteristics: enthusiastic, upbeat, positive, adaptable, intellectually sharp, service-oriented, proactive, and willing to handle all duties—including those on the jobsite. You should excel at going the extra mile for clients, completing projects accurately, and enhancing Foremost Builders' value through exceptional service.

Responsibilities

  • Serve as the first point of contact for Foremost Builders, including answering phones professionally, managing voicemails, screening calls, and greeting clients and visitors.
  • Provide information about products and services and document/update customer records based on interactions.
  • Develop and maintain a knowledge base of evolving products and services.
  • Schedule sales appointments for the President and Design Consultants.
  • Send post-Design Agreement campaigns, design questionnaires, inspiration photos, and priority lists.
  • Attend Design meetings, take notes for Daily Logs, and create post-meeting to-do lists for Designers and Clients.
  • Create and update Design Schedules in BuilderTrend and ensure they stay on track.
  • Check in with clients prior to job start-up.
  • Write SOPs for this position and others as needed.
  • Attend selection meetings with clients and assist in procuring samples.
  • Update vendors on changes and review vendor estimates for accuracy.
  • Document selections in BuilderTrend.
  • Assist with interior design tasks, such as selecting finishes and setting up material boards.
  • Keep product samples current, neat, and organized; order displays or samples as needed.
  • Order custom samples for client projects.
  • Assist with ordering materials post-Remodel Agreement signing.
  • Keep supplier product literature organized.
  • Compose letters, proposals, and spreadsheets without supervision and assist in sales duties.
  • Create a client gift package at the conclusion of each remodel project.
  • Assemble client care binders during each remodel project and present them to the client at the end.
  • Manage the client survey process, submit client/job information to Guild Quality, and monitor results.
  • Coordinate and attend professional photography sessions of completed jobs, order prints, and display them at the office.
  • Update current marketing pieces and distribute them using mailing lists; outsource items as needed.
  • Assist the President in community-based projects.

Requirements
