Flight Coordinator

Responsibilities

  • Cook up aircraft availability and operational readiness.
  • Arrange transportation, catering, lodging, permits, and related trip services.
  • Maintain situational awareness of active flights, including progress, weather, and operational changes.
  • Aid in delays, changes, and operational disruptions.
  • Serve as a central communication point for crews, clients, and internal teams.
  • Provide professional service while maintaining safety and compliance priorities.
  • Review flight logs and operational records for accuracy and completeness.
  • Maintain accurate dispatch and operational records.
  • Review upcoming flights for compliance or operational risks and coordinate resolutions.
  • Monitor flight and duty limits and resolve potential conflicts prior to departure.
  • Ensure flights comply with FAA Part 135/91 regulations and company policies; prepare and issue flight releases.
  • Ensure clear and thorough transition between shifts.
  • Support schedule changes and last-minute trip adjustments.
  • Support improvements to dispatch procedures and workflows.

Requirements

Prioritize customer service experience in hospitality, concierge or aviation environments (minimum of 2 years).

Be proficient in Microsoft Office - Word, Excel, PowerPoint, Outlook.

Be open to supporting operations on occasion overnight, on weekends and holidays.

Nice to have, but not required:

  • Experience in Part 135 or Part 91 flight operations, dispatch, or aviation scheduling environments.
  • Working knowledge of FAA regulations related to charter operations, crew duty limitations and operational control.
  • Familiarity with JetInsight or other flight scheduling or dispatch software platforms.

Skills
