Fleet Parts Supervisor (Warehouse Supervisor)

About the role
The Fleet/Warehouse Parts Supervisor plans, organizes, supervises, and oversees warehouse functions including inventory control, procurement, material tracking, receiving, storage, and distribution. This position ensures parts, supplies, tools, and equipment move efficiently across City departments—supporting critical operations that keep Ontario running smoothly. The ideal candidate will exhibit strong leadership, deep knowledge of warehouse and inventory systems, and the ability to manage people, vendors, and workflows with professionalism.

Responsibilities
- Plan, prioritize, assign, and supervise staff and vendors in warehouse procurement and distribution activities, including receiving and delivery of parts, equipment, tools, and supplies.
- Evaluate, develop, control, and monitor inventory for parts and supplies; conduct physical inventory counts; determine stocking levels; manage purchase orders; and develop automated inventory procedures.
- Supervise departmental requests for Fleet Services and other City departments by locating and acquiring required parts, materials, and tools; review and process requisitions; and verify invoices.
- Oversee the surplus disposal process, coordinate with City departments, ensure proper documentation, and arrange for pick-up or delivery of surplus items.
- Participate in developing goals, objectives, and policies; recommend and implement standard operating procedures.
- Coordinate and negotiate with vendors to establish pricing and product standards in compliance with City purchasing policies.
- Assess, evaluate, and recommend purchases or replacements of vehicles, parts, supplies, tools, and equipment.
- Monitor work unit activities; recommend process improvements, service delivery changes, and procedural updates; implement approved improvements.
- Supervise and direct staff, including selection, work assignment, performance evaluation, employee development, disciplinary action, and complaint resolution.
- Oversee solicitation of bids and quotes; recommend and approve vendor selection; prepare purchase orders and contracts in compliance with City policies.
- Provide customer service to internal and external customers; respond to inquiries and concerns; investigate complaints and suggest corrective actions.
- Assist with regulatory and safety compliance; conduct safety meetings; participate in emergency response management.
- Coordinate services and operations with other departments and outside agencies.
- Assist in annual budget preparation; identify resource needs, prepare cost estimates, and monitor expenditures.
- Prepare reports, correspondence, and other written materials; maintain records, databases, and files.
- Ensure compliance with City and mandated safety rules, regulations, and protocols.
- Perform other related duties as assigned.
Requirements
- High school diploma or recognized equivalent.
- Four (4) years of increasingly responsible experience in equipment and parts procurement and inventory control, including two (2) years in a lead or supervisory capacity.
- Valid Class C California driver’s license with an acceptable driving record at the time of appointment and throughout employment.
- Possession of a valid Forklift Operator's License is desirable.

- May be required to work during non-business hours in emergencies.
- Ability to work various schedules, including day, evening, night, weekend, and holiday shifts.
- Occasional travel to attend meetings, training sessions, or off-site assignments.

- Frequent sitting, standing, walking, and bending.
- Occasional stooping, bending, squatting, kneeling, twisting, climbing, and walking on uneven surfaces.
- Occasional lifting, carrying, pushing, pulling up to fifty (50) pounds with or without aid.
- Ability to communicate clearly using sight, hearing, speaking, reading, writing, and math skills.
- Normal vision and visual range with or without correction.
- Normal hearing in the audio range with or without correction.
