About The Role
Velociti LLC is seeking a highly organized and compliance-driven Fleet Maintenance Manager to oversee the full lifecycle of our company fleet and ensure adherence to all U.S. DOT and FMCSA regulations. This role is critical to maintaining fleet safety, operational readiness, and regulatory compliance across the organization.
Responsibilities
- Manage vehicle registration, titling, licensing, and insurance documentation
- Maintain accurate fleet records (mileage, maintenance, inspections, assignments)
- Ensure documentation is audit-ready and accessible
- Manage telematics systems and fleet data integrity
- Oversee FMCSA registrations, including freight broker permits and UCR renewals
- Develop and maintain compliance programs, policies, and driver handbooks
- Partner with legal counsel and third-party vendors to stay current on regulations
- Maintain Driver Qualification Files (DQFs) for all CMV drivers
- Coordinate background checks and motor vehicle record reviews
- Ensure all driver documentation meets FMCSA standards
- Ensure compliance with Hours of Service (HOS) regulations
- Manage ELD systems and required data retention
- Evaluate eligibility for exemptions and maintain documentation
- Create and manage preventive maintenance schedules
- Coordinate repairs with vendors and track costs
- Monitor vehicle downtime and rental usage
- Ensure all vehicles meet safety and performance standards
- Enforce pre- and post-trip inspection procedures
- Maintain DVIRs and annual inspection records
- Ensure timely repair of identified issues
- Prepare vehicles for deployment (cleanliness, equipment, functionality)
- Maintain inventory of fleet tools and supplies
- Ensure consistency across all vehicles
- Lead fleet-related onboarding sessions for new hires
- Train employees on safety, telematics, and compliance requirements
- Support HR with up-to-date fleet policies and materials
- Manage vehicle assignments and returns
- Maintain fleet rotation to minimize downtime
- Provide reporting on fleet performance, compliance, and costs
- Partner with operations and safety teams to improve efficiency and reduce risk
Qualifications
- 4+ years of experience in fleet management, DOT compliance, or transportation operations
- Strong knowledge of FMCSA regulations (driver qualification, HOS, inspections)
- Excellent organizational and documentation skills
- Experience coordinating vendors and managing schedules
- Strong communication and training abilities
- Familiarity with fleet systems, telematics, and office software
- Valid driver’s license with insurable record
- Ability to manage multiple priorities independently
Preferred Experience
- Experience with ELD systems and HOS tracking
- Knowledge of telematics platforms and fleet analytics
- Experience with tools such as J.J. Keller, Samsara, or Geotab
