About the Role
We are seeking a detail-oriented and organized Fleet Administrative Specialist to support our fleet operations and business administration functions. This role is ideal for someone who enjoys variety in their workday and thrives in a fast-paced environment. You'll play an important role in coordinating vehicle logistics, supporting customer communications, maintaining fleet systems, and assisting with administrative processes that keep our business running smoothly.
Responsibilities
- Fleet & Logistics Support
- Coordinate vehicle pickups, deliveries, transfers, and relocations.
- Schedule and communicate with drivers, carriers, vendors, and customers.
- Track vehicle movement activities and maintain accurate records.
- Assist with fleet-related logistics and transportation coordination.
- Administrative & Customer Support
- Serve as a point of contact for customer inquiries and communications.
- Prepare customer notices, correspondence, and operational documentation.
- Maintain organized records and documentation.
- Assist with data entry, reporting, and general administrative tasks.
- Systems & Process Support
- Support onboarding and offboarding activities for GPS tracking devices.
- Assist with maintaining fleet and business systems.
- Conduct audits, testing, and data integrity reviews.
- Help administer and maintain the company's Learning Management System (LMS).
- Account & Collections Support
- Assist with customer account follow-up activities.
- Prepare and distribute collection notices and account communications.
- Maintain accurate documentation related to customer accounts.
Qualifications
- High school diploma or equivalent.
- Previous administrative, customer service, logistics, transportation, or business support experience.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Ability to work independently while managing multiple priorities.
Preferred Qualifications
- Experience in fleet management, transportation, automotive, or logistics environments.
- Experience with GPS tracking platforms or fleet management software.
- Familiarity with Learning Management Systems (LMS) or other business software.
- Associate degree in a related field.
