Responsibilities
- Maintain client records and ensure proper documentation is recorded and maintained.
- Act as liaison between Financial Advisors and clients, responding to or mitigating questions or concerns.
- Manage client communications and follow-up by phone, email, or mail.
- Assist with scheduling and arranging client appointments, including reminder calls and coordinating meeting spaces.
- Proactively contact clients to schedule financial reviews or other meetings.
- Provide general administrative support, including data entry, mailing, filing, and organizing documents to audit standards.
- Provide completed service forms for clients to sign and return as part of the client experience.
- Manage day-to-day client transactions and ensure an overall positive client experience.
- Coordinate client education events, including invitations, RSVP management, attendance, client greeting, and logistics.
- Coordinate updates for Ambassador class meetings and binder preparation.
- Contact carriers and investment companies to facilitate quarterly Assets Under Management reports.
- Assist in ordering MPFS branded materials and coordinating deliveries.
- Provide assistance to Financial Advisors and Financial Consultants without a dedicated sales assistant.
- Build strong, meaningful relationships with clients.
- Maintain department records and files to audit standards and ensure security.
- Assist Advisors in calling efforts to clients identified for sales initiatives and following up on referral and lead opportunities.
- Assist clients in obtaining specialized services from other company business lines as appropriate.
- Create and maintain client files, ensuring contents are complete and accurate to audit standards.
- Coordinate and manage Financial Advisor schedules, prioritizing requests based on situation.
- Assist clients with access to online websites via conference calls with appropriate personnel.
- Assist Financial Advisors in completing and maintaining required reports for monthly submission.
Education & Qualifications
- A minimum of four (4) years’ experience in a related position normally required.
- A high school diploma or equivalent with an emphasis in business curriculum.
- Current industry experience.
- Proficiency with Microsoft Office products required.
- Strong organization skills and attention to detail required.
- Strong communication skills via telephone and email required.

- Proficient reading, writing, grammar, and mathematics skills.
- Proficient interpersonal relations and communication skills.
- Proficient typing skills.
- Moderate composition skills.
- Ability to operate word processing equipment and/or sufficient knowledge to use word processing software.
- Knowledge of various office machines.
- Working knowledge of products and services, along with operational policies and procedures.
- Ability to sit, stand, walk, bend, stoop, reach with hands or arms, use hands to manipulate objects, handle or feel, and lift items weighing 20 lbs. or less.
- Visual, auditory, and speaking skills.
- Valid driver’s license required.
