About Us
The Financial Operations Manager oversees, enhances, or operates the "quote to cash" operations, including order and contract management, resource planning, invoicing, and receivables. This role involves driving continuous process improvements, conducting financial analyses to evaluate profitability, and identifying key performance indicators (KPIs) for success. Additionally, this role performs market research to identify growth opportunities and develops strategic plans to expand into new and existing markets.
Job Summary
- Oversee, enhance, or operate the "quote to cash" operations, including order and contract management, resource planning, invoicing, and receivables.
- Drive continuous process improvements, conduct financial analyses to evaluate profitability, and identify key performance indicators (KPIs) for success.
- Perform market research to identify growth opportunities and develop strategic plans to expand into new and existing markets.
- Supervise the Financial Analyst and offshoring personnel, as determined.
Duties/Responsibilities
- Strategic Planning and Analysis:
- Develop best practices and strategic initiatives for future growth.
- Participate in the implementation and execution of plans from start to finish, including schedules, resource allocation, and workflow management.
- Analyze historical and current job/project profitability at the individual project level; develop and track KPIs including margin, revenue per resource, and billing efficiency to measure project financial success and identify underperforming accounts.
- Conduct market research to identify growth opportunities and create actionable strategic plans.
- Measure progress toward corporate growth goals and recommend corrective actions as needed.
- Maintain a resource planning system and integrate project schedules into weekly resource plans to meet utilization goals.
- Absorb and improve processes and tools utilized to generate quotes.
- Prepare and maintain annually all MSA’s and time and materials contracts for review by management.
- Oversee the procurement and delivery of job-related materials.
- Budget and Financial Support:
- Monitor financial performance and make data-driven decisions to achieve targets.
- Create billing milestones to improve invoicing timeliness; review and approve invoices to ensure appropriate billing and rates.
- Review and enhance processes for quotation generation to improve accuracy.
- Perform monthly accounting reviews with a primary focus on job/project-level profitability analysis, including revenue recognition, cost tracking, margin variance, AP, AR, cash flow reporting, and resource utilization.
- Review AR aging reporting to identify and follow up on overdue accounts.
- Provide Project Managers with regular job profitability reports comparing budgeted versus actual costs, billings to percent complete, and gross margin trends to support timely corrective action.
- Ensure technical and financial data is backed up per company data retention policies.
Attributes/Abilities
- Strong leadership and team-building skills.
- Excellent communication and interpersonal skills.
- Knowledge of GAAP, revenue recognition, internal financial controls and compliance.
- Proficiency in Microsoft Office and project management software.
- Strong analytical, organizational, and problem-solving skills with a focus on process improvement and achieving business objectives.
- Proven ability to manage financial processes, including budgeting, invoicing, and profitability analysis.
- Proficiency in NetSuite and Ramp required; familiarity with resource planning tools and project management systems preferred.
- Ability to handle multiple tasks and deadlines effectively.
- Experience and education: Bachelor’s degree in Business Administration, Finance, or a related field is preferred. 1 – 3 years of experience in business operations, preferably in the electrical engineering industry.
Physical Requirements
- Regular travel to project sites may be required.
- Flexibility and availability to work beyond regular business hours.
- This is an office desk position with no significant physical exertion required.
