Financial Manager - African American Museum of Dallas

About the role

The African American Museum of Dallas (AAMD) is one of the few institutions in the United States dedicated to preserving and displaying African American artistic, cultural, and historical materials. As a cornerstone of Dallas's cultural landscape, AAMD is committed to education, community connection, and honoring the richness of African American heritage.

Responsibilities

  • Bookkeeping & General Accounting
    • Maintain accurate, up-to-date financial records using accounting software (QuickBooks or equivalent)
    • Record all financial transactions including income, expenses, and journal entries
    • Prepare monthly bank reconciliations and financial statements
    • Serve as primary liaison with external auditors during annual audit preparation
  • Accounts Payable & Vendor Management
    • Process all accounts payable, including vendor invoices, employee reimbursements, and contractor payments
    • Maintain vendor files and ensure timely, accurate payment processing
    • Monitor outstanding payables and manage cash disbursement schedules
    • Ensure proper authorization and documentation for all expenditures
  • Grant Financial Reporting
    • Track restricted and unrestricted grant expenditures against approved budgets
    • Prepare timely and accurate financial reports for government, foundation, and corporate funders
    • Collaborate with the Development team to ensure grant compliance and proper fund allocation
    • Support budget development for grant proposals and renewals
  • Museum Store Financial Reconciliation
    • Conduct regular reconciliations of museum store sales, inventory, and revenue
    • Cook with store staff to ensure accurate point-of-sale reporting
    • Track cost of goods sold and generate store-specific financial summaries
    • Identify and resolve discrepancies in a timely manner
  • Financial Planning & Compliance
    • Assist the Executive Director in budget development and monitoring
    • Maintain compliance with nonprofit financial regulations, IRS requirements, and funder guidelines
    • Prepare 1099s and other year-end tax filings as required
    • Safeguard financial data and maintain confidentiality at all times

Qualifications

  • Required:
    • Bachelor's degree in Accounting, Finance, Business Administration, or a related field
    • 3–5 years of progressive experience in bookkeeping, accounting, or financial management
    • Proficiency in QuickBooks (Desktop or Online) or comparable accounting software
    • Experience with nonprofit fund accounting and grant reporting
    • Strong attention to detail, organizational skills, and ability to meet deadlines
    • Proficiency in Microsoft Excel and Google Workspace
  • PREFERRED:
    • Experience in a nonprofit, cultural institution, or museum environment
    • Familiarity with Texas nonprofit compliance requirements
    • CPA, CPA candidate, or relevant accounting certification
    • Experience supporting retail or gift shop financial operations
