About the role
The Financial and Administrative Officer for the Departments of Creative Writing, Dance, Music, Theatre, Film and Digital Production, Palm Desert Low-Residency MFA, the University Theater, and the Performing Arts Administration (PAA) reports to the Divisional FAO for CHASS with a dotted line reporting to the four Department Chairs/Program Directors.
Responsibilities
- Provides management, coordination and oversight of the daily operations of the four independently operated Academic units including managing access control to all spaces, payroll, reconciliation, reporting, budget approvals for the Palm Desert Low-Residency MFA, payroll review, purchasing approvals for the University Theater, and one Administrative support unit, including financial, human resources, academic support, contracts and grants, facilities management and other operational matters.
- Manages business, accountability, stewardship, publicity and support functions in the Departments to achieve Department and CHASS goals and objectives in meeting the mission of the University.
- Identifies objectives, develops strategies and policies, and functions with a high degree of autonomy.
Requirements
- Experience: 6 - 10 years of related experience. Experience in budget development and management using on-line financial, payroll, personnel, and purchasing systems, as well as contract and grant administration. Management experience in an academic environment. Previous supervisory/managerial experience preferred.
- Education: Degree Bachelor's degree in related area and/or equivalent experience/training.
Qualifications
- Knowledge: Solid knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management and/or personnel management within labor contract(s) and personnel policy. Solid knowledge of financial analysis and reporting techniques; human resources and risk management planning; accounting and payroll. Demonstrated skills in employee supervision and HR administration. Interpersonal skills to effectively motivate others. Solid knowledge of common organization-specific and other computer application programs. Organizational and customer service skills to effectively manage multiple priorities. Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling to effectively motivate others. Ability to develop policies and procedures to ensure accountability in all aspects of departmental administration. Excellent written communication skills, including the ability to compose business correspondence, edit, and use correct spelling, punctuation and grammar. Ability to function independently and take responsibility for results; organize workload with close attention to detail; manage multiple tasks and timelines; and maintain strict confidentiality. Knowledge of employment laws, union contracts, and ability to interpret UC personnel policies. Extensive knowledge of and demonstrated experience with Microsoft Office and common desktop/web applications in relations to on-line accounting, spreadsheets and data base management systems.
