About the role
The Client Relationship Specialist plays a crucial role in delivering exceptional client service and operational support to advisors and internal teams. This position serves as a key point of contact for clients during the onboarding and service process, ensuring accurate and efficient account administration, documentation, and operational activities.
Responsibilities
- Build and maintain strong relationships with clients by providing timely, professional, and personalized service.
- Respond to client inquiries regarding account maintenance, service requests, and account access.
- Aid in client onboarding activities and ensure a seamless experience throughout the transfer and account-opening process.
- Coordinate client meetings, prepare meeting materials, and support follow-up activities.
- Demonstrate client portals, custodian websites, and online account access tools.
- Participate in client meetings and contribute by preparing information, facilitating discussions, and supporting presentations.
- Act as a liaison between clients, advisors, custodians, and internal teams to ensure prompt resolution of requests.
- Prepare and submit all required documentation for new account openings and client onboarding.
- Carefully coordinate account transfers, asset movements, money movement requests, checks, beneficiary updates, and other client service requests.
- Interface directly with custodians to establish and maintain client accounts.
- Maintain accurate client records, documentation, and compliance files.
- Ensure cost basis information and account records remain current and accurate.
- Complete paperwork related to alternative investments as needed.
- Maintain client information within CRM and portfolio management systems.
- Collaborate with Advisors to prepare financial planning analyses and recommendations.
- Aid in gathering client data, developing risk profiles, and preparing investment recommendations.
- Support Advisors with financial planning assumptions and strategy implementation.
- Develop asset allocation recommendations under the guidance of Advisors and the Investment Committee.
- Assemble portfolio performance reports and client review materials.
- Aid in investment research and portfolio management activities as needed.
- Participate in projects designed to improve operational processes and client service delivery.
- Support client appreciation events, educational programs, and marketing initiatives.
- Collaborate with Advisors, broker-dealer operations, and Compliance to ensure a consistent client experience.
- Stay informed on industry changes, market developments, and firm initiatives that may impact clients.
- Ensure all activities comply with regulatory, compliance, and firm policies.
Requirements
- Bachelor's degree in Finance, Business Administration, Economics, or a related field preferred.
- Experience in wealth management, financial services, banking, or a client-service environment preferred.
- Strong understanding of account administration, client onboarding, and investment operations.
- Experience with custodial platforms, CRM systems, portfolio management software, and Microsoft Office Suite.
- Demonstrated ability to manage multiple priorities while maintaining exceptional attention to detail.
- Strong analytical, organizational, and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to work independently while knowing when advisor guidance is required.
- Commitment to providing an exceptional client experience.
- Demonstrated interest in financial planning, portfolio management, and professional growth within the advisory profession.
Qualifications
- Internal applicants must be in good standing and have a minimum of 1 year of service with Kestra.
- Internal applicants must also have a minimum of 1 year service in current role unless approved by EVP.
