Responsibilities

• Vendor and creator payments (AP): Review vendor and creator invoices against contracts, purchase orders, and approvals before they are paid.
• Help onboard new vendors, including collecting W-9 / W-8 forms and checking that records in Ramp and Lark are complete.
• Keep the AP aging report up to date and help prepare the weekly payment schedule.
• Client billing and collections (AR): Help prepare client invoices based on contracts, POs, and project milestones.
• Track open invoices by due date, follow up on payment status with clients and account teams, and record payments when they arrive.
• Project cost tracking and wrap: Organize production costs by project and client, and compare actual costs with the budget.
• Help close out finished projects: confirm that all costs are recorded, flag costs that have been incurred but not yet invoiced, and gather the supporting documents.
• Month-end close and reporting: Assist with bank, credit card, and payment platform reconciliations.
• Review transaction categories in QuickBooks and follow up on anything unclear.
• Help prepare supporting schedules for monthly reports and the weekly cash flow forecast.
• Cross-office support: Help match transactions between our New York, London, Hong Kong, and Shanghai entities, and follow up on differences.
• Gather documents for tax filings, audits, and production tax credit applications as needed.
• Process improvement: Spot repetitive or error-prone tasks and help build better templates, trackers, or AI-assisted workflows.
• Write down how recurring tasks are done so the next person can pick them up easily.
