About the role
Acts as first point of contact to all customers. Organizes and facilitates clerical administrative duties of the department. Performs a variety of cross-functional clerical and patient support duties including telephone, registration, scheduling, clerical administrative duties, and/or data entry as they relate to the department. Responsible for patient chart maintenance and communication with physicians' offices as needed.
Responsibilities
- Contacts, greets, and communicates with customers.
- Answers telephone calls, retrieves, and responds to voicemail messages; directs all information to the appropriate individual.
- Orients patients to the department with directions and instructions.
- Performs imaging support duties as needed:
- Receives and transfers incoming calls.
- Generates reports and retrieves images from the PACS system.
- Assists in maintaining efficient patient workflow.
- Maintains all records and ensures dissemination of files to designated/requesting parties.
- Ensures patients are appropriately prepared for their exam.
- Transports patients when necessary.
- Assists Supervisor, Radiologist, and/or Technologists within the scope of the position as directed.
- Performs a variety of scheduling duties:
- Schedules patients for initial and follow-up appointments.
- Tracks no-shows, documents in the appropriate system, and communicates with the physician if applicable.
- Provides schedules in the directed format to staff as needed.
- Performs a variety of registration duties:
- Provides patients with initial registration information.
- Creates and/or chooses the appropriate electronic record, gathers signatures (electronic or otherwise), medical authorization/referral coordination, and/or financial responsibility.
- Completes daily data entry and scanning of patient registration information.
- Obtains authorization from insurance companies as applicable.
- Collects co-pays and payments required for procedures.
- Completes and submits daily deposits and/or billing as applicable.
- Completes patient chart processes in accordance with HIPAA and maintains appropriate information.
- Communicates with applicable insurance carriers and hospital billing for authorization updates; ensures appropriate chart information is forwarded to medical records.
- Communicates with Workman’s Compensation and hospital billing for authorization updates and billing; ensures appropriate chart information is forwarded to medical records.
- Views email daily and provides the supervisor with appropriate information and memorandums.
- Maintains inventory of office supplies/forms and places orders as required.
- Performs other duties as assigned.
Requirements
- High School Diploma or GED - Required
- 1 year in a healthcare-related field with knowledge of medical terminology, or experience in scheduling and/or registration in a healthcare setting - Preferred
- 2 years in healthcare-related experience, including scheduling and registration experience, or Patient Access, Outpatient Medical Imaging, Medical scheduling, or closely related experience - Preferred
- Fingerprint Clearance Card - State: Must have a current Fingerprint Clearance card or apply and be eligible for one within seven (7) working days after employment (Pediatric Behavioral Health Sites ONLY) - Required
- Basic Cardiac Life Support (BCLS) - Certificate - Preferred
