Purpose

The File Maintenance Supervisor is responsible for supporting the daily operations of the File Maintenance Department by ensuring pricing accuracy, promotional execution, signage compliance, data integrity, and operational accuracy throughout the store. This position supervises File Maintenance Clerks, monitors pricing systems, and helps ensure all products are accurately priced and properly signed. The File Maintenance Supervisor plays a critical role in maintaining customer trust, operational efficiency, and regulatory compliance.

Responsibilities

• Leadership & Team Development
  • Supervise, coach, and develop File Maintenance Clerks and other assigned team members.
  • Provide daily direction and support to department employees.
  • Assist with hiring, onboarding, and training new associates.
  • Promote a culture of accuracy, accountability, and customer service excellence.
  • Monitor employee performance and provide ongoing coaching and feedback.
• Pricing & Data Integrity
  • Oversee execution of daily, weekly, and promotional price changes.
  • Ensure pricing accuracy throughout the store.
  • Verify promotional pricing is activated and functioning correctly.
  • Monitor item file maintenance activities to ensure data integrity.
  • Research and resolve pricing discrepancies promptly.
• Signage & Promotional Execution
  • Ensure all signage is accurate, current, and compliant with company standards.
  • Coordinate installation of promotional and seasonal signing.
  • Verify advertised items are properly signed and priced.
  • Remove outdated signs and promotional materials in a timely manner.
  • Support execution of company merchandising and promotional programs.
• Operational Support
  • Maintain and troubleshoot pricing systems, handheld devices, and related equipment.
  • Assist department managers with pricing, item setup, and inventory issues.
  • Monitor department workflows to ensure tasks are completed accurately and on schedule.
  • Serve as a resource for store leadership regarding pricing and file maintenance issues.
  • Support store audits and operational reviews.
• Customer Service
  • Assist with customer pricing concerns and inquiries.
  • Resolve pricing discrepancies quickly and professionally.
  • Support front-end and customer service teams with pricing-related issues.
  • Ensure customers receive accurate pricing and promotional offers.
• Compliance & Accuracy
  • Maintain compliance with company policies, pricing regulations, and audit standards.
  • Ensure all price changes and file updates are completed according to established timelines.
  • Verify department records and reports are completed accurately.
  • Support internal and external audits as required.
  • Protect company assets through accurate pricing and operational controls.
• Performance & Productivity
  • Support department productivity and operational efficiency goals.
  • Monitor completion of file maintenance tasks and workload distribution.
  • Identify opportunities to improve pricing accuracy and department performance.
  • Communicate recurring issues and recommend corrective actions.
  • Support store-wide operational initiatives.
