Job Description

The Field Operations QA/Write-Up Inspector supports safe, compliant, and efficient repair operations by performing railcar inspections, preparing accurate repair documentation, and ensuring adherence to AAR/FRA regulatory standards. This role provides critical administrative, quality, and compliance support to mobile and mini-shop operations, including document control, billing preparation, material verification, and customer communication.

This role plays a key role in maintaining regulatory compliance, supporting operational workflow, and ensuring accurate and timely repair documentation for invoicing and customer reporting.

Essential Functions

  • Conduct incoming, in-process, and final railcar inspections in accordance with AAR/FRA regulations and company quality standards.
  • Create accurate railcar write-ups and repair documentation to support billing and operational workflow.
  • Prepare Billing Repair Cards (BRCs) based on information received from supervisors, ensuring accuracy for invoicing and customer reporting.
  • Maintain document control, including procedures, drawings, permission forms, and other related documentation.
  • Identify railcar parts, valves, and fittings to ensure appropriate materials are available for repairs and incoming work.
  • Prepare purchase orders, order materials, and verify receipt of materials against purchase orders.
  • Support inventory management, including monthly counts and maintaining 5S and Kanban systems.
  • Collect and communicate information from internal teams, customers, car owners, and vendors to support repair operations.
  • Aid with administrative tasks, safety and quality checklists, and other operational documentation as required.
  • Prepare required monthly reports and support continuous improvement initiatives.
  • Participate in and actively support quality programs, Responsible Care initiatives, and company safety expectations.

Skills / Specifications

  • Knowledge of AAR/FRA regulatory requirements and railcar repair standards.
  • Ability to perform railcar inspections, including climbing, bending, and working at heights.
  • Strong administrative and document-control skills with high attention to detail.
  • Ability to identify railcar components, valves, fittings, and materials.
  • Proficiency with basic office equipment and computer systems.
  • Strong communication skills for interacting with customers, supervisors, vendors, and internal teams.
  • Ability to read, comprehend, and interpret technical documents, forms, and repair procedures.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Commitment to safety, quality, and continuous improvement.
  • Ability to support accurate billing and repair documentation.

Education / Experience / Qualifications

  • A high school diploma or equivalent required.
  • 2–3 years of relevant experience in railcar repair, inspection, or administrative support preferred.
  • Knowledge of AAR/FRA standards strongly preferred.
  • Experience with billing, payroll entry, or repair documentation is beneficial.
  • Ability to communicate effectively and professionally with internal and external stakeholders.
  • Computer proficiency required.
  • Experience with RailLink software preferred.
  • Some leadership experience preferred.

Working Conditions

  • Must be able to traverse repair facilities, rail yards, and shop environments.
  • Requires climbing ladders, bending, stooping, and working in elevated or confined spaces during inspections.
  • Prolonged periods of computer and desk work may be required.
  • Must be able to lift up to 15 pounds.
  • Ability to work extended hours as operational needs require.
