Responsibilities
- Provide general administrative support duties for assigned faculty and their research groups.
- Make faculty and guest travel arrangements.
- Schedule assistance, including managing calendars, appointment requests, and meeting space reservations.
- Prepare and ship correspondence and laboratory materials for research groups.
- Course support: Assist with preparation and maintenance of Canvas sites, including uploading course related materials, sending emails to students, and ordering books.
- Aid faculty with CV and profile updates, conference paper submissions, and working with outside companies.
- Proofread and edit documents.
- Plan and execute various events, ranging from departmental seminars to multi-day symposiums, ensuring compliance with University policies.
- Support undergraduate and graduate program administrators with student events.
- Purchase and receive lab and office supplies.
- Manage and reconcile monthly travel and expense credit cards (Concur).
- Process expense reimbursement requests.
- Manage and reconcile the budget and expenses for assigned events.
- Update the department website for faculty pages, people, and events using Drupal.
- Assist with department administrative duties such as mail distribution and communications tasks.
- Perform special projects as assigned by the Senior Manager of Finance and Administration or Administrative Office Coordinator.
Qualifications
- Bachelor’s Degree or 3+ years of closely-related experience.
- Demonstrated successful organizational and interpersonal skills, including written and verbal communications with faculty, students, researchers, and staff at all levels.
- Proven ability to multi-task, prioritize, and work independently in a fast-paced environment.
- Proven ability to exercise independent judgment and make decisions based on established policies and procedures.
- Willingness to work independently and as part of a team.
- Proficiency in Microsoft applications, including Outlook, Word, and Excel.
