About the Role

The Faculty Affairs Coordinator for the Department of Dermatology reports to the Associate Director of Administration and Academic Affairs. This role serves as a trusted resource for faculty employment and career progression, working closely with the Department Chair, COO, Departmental COAP Chair, Education Officer, and Vice Chairs. The coordinator manages faculty affairs processes, ensures compliance, and supports faculty development and retention initiatives.

Responsibilities

  • Serve as Project Manager for all aspects of Faculty Affairs, including drafting and coordinating faculty appointment, re-appointment, and promotion documents (e.g., Chair Recommendation Letters, Academic Plans, Educational Database documents, Peer Reviews).
  • Monitor and ensure timely submission of documents to stakeholders while adhering to deadlines.
  • Manage timelines for Departmental Endowed Chair Appointments and Renewals.
  • Maintain confidential and secure records of all current and historical faculty files.
  • Act as the primary point of contact for associated and affiliated faculty.
  • Coordinate Departmental COAP initiatives, ensuring compliance with the faculty handbook and Perelman School of Medicine policies.
  • Partner with the Vice Chair of Faculty Affairs to prepare for and participate in meetings related to faculty affairs.
  • Draft and coordinate the review process for chair recommendation/summary documents and academic plans.
  • Provide guidance to faculty on requirements for appointments, reappointments, promotions, scholarly leave, and other administrative aspects of faculty affairs.
  • Monitor and assist faculty in meeting compliance and training requirements (e.g., medical licenses, DEA licenses, vaccines, CPSL).
  • Prepare faculty-related reports, including headcount projections, for the Department, Perelman School of Medicine, and the University.
  • Provide backup support for faculty recruiting, onboarding initiatives, and departmental coordination.
  • Attend University and Health System meetings and training related to job duties.
  • Perform other duties and responsibilities as assigned.

Requirements

  • Bachelor of Arts, Bachelor of Science, Bachelor of Fine Arts, or equivalent combination of education and experience.
  • 3-5 years of relevant experience.

Pay

Salary offers range from $55,962.00 to $92,593.00 annually, based on qualifications, experience, skills, and education.
