Facility Administrator
About the role
The Facility Administrator plays a key role in supporting the safe, efficient, and effective operation of the facility. Responsibilities include customer service, accounts receivable, accounts payable, systems support, training coordination, and continuous improvement initiatives.
Responsibilities
- Maintain appropriate files, documents, reports, and accessible filing systems
- Meet month-end deadlines and ensure accurate reporting to finance
- Share pertinent information and correspondence with the operations team
- Handle internal and external customer relations and inquiries in a prompt, accurate, and professional manner
- Perform daily ticket entry and resolution of tickets, including customer, trucking company, generator, contact, and location setup verification
- Assist with load confirmation, field ticket entry, approval tracking, and customer invoicing process
- Track expenses for Accounts Payable and assist with Payroll/Time Entry
- Support onboarding of new employees as required
- Maintain office supply inventory, order supplies as needed, and ensure the workspace remains organized
Requirements
This role is based out of Stanley, ND. Full-time position with a 40-hour work week, flexible to support operational priorities and deadlines as needed.
Qualifications
- Minimum 1-year experience in an administrative role
- Administration or Accounting Certificate/Diploma considered an asset
- Knowledge of Microsoft Office applications such as Word, Excel, Adobe, and Access
- Strong time management and organizational skills
- Ability to work effectively under pressure, meet demanding deadlines, and change priorities
- Strong teamwork and collaboration skills
- Excellent communication, interpersonal, and customer service skills
