Facilities & Events Operations Assistant (Part-time)

About the role

Gettysburg College seeks a detail-oriented, adaptable part-time Facilities & Events Operations Assistant to join our Facilities Services team. This position supports two key areas of campus operations: Facilities Service Response & Transportation and Conference & Events. The role averages 18–19 hours per week, primarily Tuesday through Friday during regular business hours, with occasional evening and weekend hours required to support events and other Facilities operations.

Responsibilities

• Answer phones and process work order tickets using TMA
• Coordinate transportation trip requests through the Travel Tool
• Provide flexible coverage in the office as needed
• Drive College vehicles when needed
• Assist with Housing and Classroom Inspections, which requires walking campus grounds
• Manage data entry for event surveys and reservations using the Engage Reservations System
• Maintain records in the IRIS Conference program
• Create athletic field maps and event maps using 3D Concept software
• Serve as an on-site Point of Contact for select evening and weekend events

Requirements

• High school diploma or equivalent preferred
• Valid driver’s license with a clean driving record; comfortable driving College vehicles as needed
• Proficiency with Microsoft Suite and willingness to learn new software programs (TMA, Travel Tool, Engage, IRIS, 3D Concept)
• Strong attention to detail and accuracy, especially with data entry
• Flexibility to work occasional evenings and weekends
• Ability to walk campus grounds and perform physical tasks, including standing for long periods, bending, and lifting up to 50 pounds

Schedule

Part‑time, averaging 18–19 hours per week, primarily Tuesday through Friday during regular business hours, with occasional evening and weekend hours required to support events and other Facilities operations.
