About the role
The Facilities Ambassador plays a crucial role in enhancing the Workplace Experience for clients' colleagues, customers, and guests. They are integral to the Moments that Matter (MtM) programme, focusing on productivity, collaboration, and well-being.
Responsibilities
- Assist the Facilities Manager with operational activities including accounting, finance, maintenance, operations, vendor oversight, purchasing, and occupancy services.
- Approach tasks with an end-user experience perspective to continuously improve workplace quality.
- Provide administrative support to the team and manage building operations.
- Support and cover for Workspace Hosts or event team members as needed.
- Develop relationships with key stakeholders, landlords, managing agents, and facility vendors.
- Manage contractors to ensure they meet high standards and conduct regular inspections and audits.
- Procure vendors and services as necessary and maintain office supplies and services to meet standards.
- Ensure timely and accurate financial management, including accrual reports and finance trackers.
- Conduct site inspections, assessments, and audits, and adhere to safety procedures and building protocols.
- Implement and monitor property risk management programs and industry best practices.
- Maintain premises in good condition and manage duplicate office keys.
- Support disaster recovery and business continuity plans.
- Follow established escalation and incident reporting procedures.
- Provide support for regular management reports and projects.
- Achieve KPIs and SLAs.
- Manage physical assets and maintain an asset register.
- Reduce frustration among colleagues by anticipating and addressing pain points.
- Engage in continuous improvement and innovation to enhance workspace delivery.
- Support sustainability initiatives and contribute to LSEG's environmental goals.
Requirements
- Prior experience in facilities, property management, hospitality, or a related field is preferred.
- Knowledge of local occupational health and safety requirements and vendor management for specialized services is advantageous.
- Understanding of basic technical aspects of property, such as computer room air conditioning, chillers, fire protection systems, and mechanical & electrical systems, is advantageous.
- Proficiency in a range of information technology tools and platforms.
- Excellent communication, organization, and problem-solving skills.
- Ability to work independently with minimal supervision and handle stressful situations.
- Self-motivated, energetic, and flexible personality.
