Facilities Coordinator

About the role

Plan and schedule daily and long-term work for a site-based facility maintenance team using CMMS and associated software programs. Perform administrative duties as assigned by the site manager, assist with mailroom duties as needed, and coordinate small events and setups.

Responsibilities

  • Receive and schedule work for subcontractors and on-site personnel; enter missing data and modify records to ensure correctness.
  • Interface with customers (if necessary) to clarify the scope of work requested and follow up with status updates.
  • Create and dispatch schedules to applicable team members on a daily, weekly, and monthly basis.
  • Generate and dispatch weekly and monthly preventive maintenance (PM) tasks; track progress to ensure compliance.
  • Maintain work order logs for monthly reports, making changes as necessary to ensure accuracy.
  • Generate metrics (graphs, charts, spreadsheets, etc.) using applicable software as directed by the site manager.
  • Process daily time sheets for the team and ensure correctness.
  • Assist in procuring materials and services, including issuing and maintaining purchase orders and invoices.
  • Schedule and maintain the safety matrix for team members.
  • Maintain a filing system to ensure proper record keeping.
  • Perform any other duties as deemed necessary by the site manager.

Requirements

  • Associate’s degree (A.A.) or equivalent from a two-year college or technical school.
  • Must be 21 years old or older.
  • 5 to 10 years of related experience and/or training; or equivalent combination of education and experience.
  • Previous experience in an industrial maintenance environment.
