About the Role
BD&J, a leading personal injury law firm based in West Los Angeles with over $3 billion recovered, is seeking a highly organized, proactive, and hands-on Facilities Coordinator to support the day-to-day operations and maintenance of our office. This full-time, onsite position will work closely with the Operations team, vendors, maintenance personnel, and internal departments to ensure our facilities remain clean, safe, organized, and fully operational. Occasional travel may be required to support other office locations, vendors, deliveries, or facilities-related projects.
Responsibilities
- Coordinate day-to-day facilities and maintenance requests, ensuring issues are addressed promptly and appropriately.
- Serve as a point of contact for vendors, maintenance personnel, building management, and service providers.
- Submit, track, and follow up on cleaning, maintenance, repair, and other facility-related service requests.
- Conduct regular walkthroughs of the office to identify maintenance, cleanliness, safety, and supply needs.
- Monitor office supplies, kitchen supplies, and facility-related inventory and coordinate reorders as needed.
- Maintain organized records of facility requests, vendor information, equipment, supplies, and other operational documentation.
- Assist with office moves, workspace setups, furniture installations, and other office projects.
- Coordinate the setup and preparation of workspaces for new hires, transfers, and department moves.
- Assist with deliveries, pickups, equipment transfers, and other facilities-related errands.
- Help coordinate repairs and maintenance with building management and outside vendors.
- Communicate facility-related issues to the appropriate members of the Operations team and assist with resolving them.
- Assist with maintaining office organization, including supply rooms, kitchens, storage areas, and common spaces.
- Assist with purchasing and procurement of office and facility-related items within established guidelines.
- Travel between office locations or other sites as needed for facilities-related tasks.
- Support the Operations team with special projects and other administrative or facilities-related duties as assigned.
Requirements
- 2+ years of experience in facilities, office operations, administrative operations, or a related role.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent communication and interpersonal skills.
- Ability to work independently, take initiative, and follow through on tasks.
- Strong attention to detail and a proactive approach to identifying and resolving problems.
- Comfortable communicating with vendors, contractors, building management, and internal employees.
- Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
- Ability to perform occasional physical tasks associated with office moves, deliveries, organizing supplies, and setting up workspaces.
- Reliable transportation and a valid driver's license required for occasional work-related travel.
- Bilingual in Spanish is a plus.
