Facilities Clerk

About the role
The primary function of the Facilities Clerk is to order and reorder parts directly used in the maintenance department. This position serves as the vendor liaison to ensure all needs are met by both the maintenance manager and the vendor. The Facilities Clerk is also responsible for closing work orders, part sourcing, data entry, and other assigned tasks.
Responsibilities
- Performs and coordinates physical count of inventory and compares it to the actual count in Keep Trax.
- Assesses, performs, and properly documents necessary equipment and facility repairs and adjustments.
- Ensures all stock items are listed and managed in Keep Trax.
- Performs weekly cycle counts of maintenance parts to verify all minimum and maximum levels are correct.
- Manages inventory data in Keep Trax to ensure all parts relate to maintainable equipment.
- Provides Keep Trax administrative support and may act as a parts runner off-site.
- Coordinates receiving and stocking items as necessary.
- Communicates daily with outside vendors to ensure all parts are ordered and delivered within expected timeframes.
- Works with the Planner to ensure all preventive maintenance (PM) and work orders (WO) are entered into Keep Trax.
- Communicates daily with purchasing and accounting to ensure all procurement work is processed as expected.
- Manages all departmental spending by accounts and reports it to the Maintenance Manager.
- Works with shift team leaders to ensure all parts are issued on time and procurement work is complete.
- Maintains the tool crib organized and fully stocked.
- Performs miscellaneous job-related duties as assigned.
Requirements
- At least 3 years’ experience managing a parts store in a Maintenance Department.
- Understanding of how to organize, secure, and manage a successful parts room.
- Good planning and organizational skills.
- Ability to consistently meet minimum production standards and company service levels.
- Strong organizational skills and the ability to multi-task.
- Ability to work closely and effectively with others to promote teamwork.
- Ability to work independently.
- Flexibility to respond to changing priorities and needs within operations.
- Positive and enthusiastic demeanor.
Working Conditions
- Moderate but varying temperature and humidity in office and warehouse environments.
- Work is performed inside and outside the property with exposure to inclement weather.
- Regular exposure to cold, heat, dust, pollen, odors, oil, fumes, and noise.
Physical Requirements
- Must be able to stand, sit, squat, lift, and/or walk for the duration of the scheduled shift.
- Must be able to lift up to 50 lbs.
Pay
The target hourly pay for this position is $22.00 - $23.55. The actual hourly pay offered depends on various factors, including starting wages competitive to the market for similar roles, relevant qualifications and experience, and other legitimate, non-discriminatory business factors specific to the position and/or geographic location. Certain work schedules may also be eligible for shift differential pay.
