Facilities Assistant - Minneapolis, MN
About the Role
We are seeking a proactive and service-oriented Facilities Assistant to join our Facilities team in our Minneapolis office. This role is ideal for someone who enjoys variety in their day, takes pride in creating exceptional workplace experiences, and thrives in a collaborative environment. Working closely with the Director of Facilities, you'll help support the day-to-day operations of our offices by coordinating office moves, maintaining facilities resources, assisting with repairs, supporting conference services, and ensuring our attorneys and staff have the tools and workspace they need to be successful. This position combines hands-on facilities support with administrative coordination.
Responsibilities
- Provide exceptional customer service while responding to facilities-related requests from attorneys and staff.
- Assist with office moves, workstation setup, temporary office assignments, and space planning activities.
- Coordinate the issuance, replacement, and tracking of building access cards, parking cards, keys, and other facilities-related resources.
- Perform minor repairs to office furniture and equipment while coordinating larger maintenance requests with building management and outside vendors.
- Perform hands-on facilities work, including hanging artwork, assembling or moving office furniture, setting up workspaces, and completing minor office repairs.
- Track maintenance requests, service history, repairs, inventories, and facilities assets.
- Support vendor coordination, deliveries, and building service requests while ensuring projects are completed in a timely manner.
- Assist with facilities management systems and departmental software.
- Order and coordinate firm stationery, business cards, office furnishings, and workplace supplies.
- Provide administrative support including scheduling, email requests, inventories, and documentation.
- Provide backup support for conference services, hospitality, and reception as needed.
- Serve as backup support for the firm's reception desk, providing a professional and welcoming experience for clients, visitors, and employees.
- Assist with invoice processing and departmental budget documentation.
- Conduct ergonomic workstation assessments and coordinate special equipment requests.
- Support regional office locations with facilities-related needs.
- Troubleshoot facilities-related issues and proactively identify practical solutions to keep the office operating efficiently.
- Regular in-office attendance (Monday–Friday) is required to provide on-site support for attorneys, staff, and office operations.
- Flexibility to work overtime, as needed, to support office moves, special projects, events, or operational priorities.
Qualifications
- High school diploma or equivalent required; additional education or facilities-related training is a plus.
- Previous experience in facilities, office services, property management, hospitality, workplace operations, or a related customer service environment preferred.
- Strong customer service mindset and problem-solving skills.
- Ability to manage multiple priorities with strong attention to detail.
- Excellent communication and interpersonal skills.
- Experience with Microsoft Office.
- Ability to perform light physical work, including moving office furniture and supplies.

Pay
The salary range for this position varies by geographical market. In Minneapolis, the estimated starting annual pay range is $57,000–$65,000. The compensation offered will be dependent on the candidate's experience, skills, education, professional background, overall qualifications, and geographic market location.
