Export Supervisor
Overview
The Supervisor, Exports is responsible for overseeing Export Agents and managing processes that support the customer's export needs. The position is responsible for ensuring cost-effective export operations, timely service by applying knowledge of laws, regulations, governing agencies, procedures, audits, programs, and practices.
Position Summary
The Supervisor, Exports oversees the functions of Export Agents, prioritizes work, determines schedules, assigns daily tasks, establishes or adjusts work procedures to meet changing demands, ensures optimum efficiency of all Export Agent activities. This role also involves supervising and assisting in daily export activities, such as consolidating export shipments, recommending best mode of transportation, obtaining best rates and space from carriers, reviewing customer volumes, ensuring all transactions are processed accurately and timely. It requires demonstrating in-depth knowledge of customers' needs, monitoring communications with assigned customers, responding promptly to customer requirements, concerns, and issues, and resolving issues related to all anomalies that interfere with the timely delivery of the customer's product. Additionally, this position involves performing routine audits and 'closing the file,' ensuring rates charged are accurate, compliance and recordkeeping requirements are met, instituting corrective action, and ensuring errors are resolved. Managing handling of licensed shipments and special accounts ensuring all aspects of the shipment comply with regulations, implementing and following all security measures including government required and local security programs.
Responsibilities
- Supervise the functions of Export Agents: prioritizing work, determining schedules, assigning daily tasks, establishing or adjusting work procedures to meet changing demands, ensuring optimum efficiency of all Export Agent activities.
- Supervise and assist in daily export activities including: consolidating export shipments, recommending best mode of transportation (rail, air, and ocean), obtaining best rates and space from carriers, reviewing customer volumes and ensuring all transactions are processed accurately and timely.
- Demonstrate in-depth knowledge of customers’ needs.
- Monitor communications with assigned customers, respond promptly to customer requirements, concerns and issues and resolve issues related to all anomalies that interfere with the timely delivery of the customer’s product.
- Perform routine audits and 'close the file,' ensuring rates charged are accurate, compliance and recordkeeping requirements are met.
- Institute corrective action and ensure errors are resolved.
- Manage handling of licensed shipments and special accounts ensuring all aspects of the shipment comply with regulations.
- Implement and follow all security measures including government required and local security programs.
Qualifications
- High School diploma or GED plus three to five years of Export experience in the freight forwarding industry is required. Prior supervisory experience is preferred.
- Must possess excellent customer service skills with the ability to grasp extensive knowledge while dealing with a variety of people.
- Must have strong organizational and time management skills. Ability to organize and manage multiple priorities.
- Must have prior training and experience in handling hazardous goods.
- Must have knowledge of export administration regulations and regulations – TSA, IATA, HAZMAT, ITAR.
- Able to read, analyze and interpret verbal and written requests and directions.
- Able to compose letters, memos, emails and other written documentation clearly and concisely.
- Be able to present oneself in a highly cooperative and professional manner when meeting both internal and external customers and vendors face to face.
