About the role
You will report to your Supervisor and support the Supply Chain function by expediting all aspects and deliverables for assigned items, including equipment and material required for completion of Purchase Orders, Contracts, or Projects. You will manage and mitigate potential risks using stakeholder meetings, systems, templates, and processes while developing relationships with stakeholders such as vendors, engineering teams, project contractors, quality, and other Supply Chain Management (SCM) team members.
Responsibilities
- Mentor new hires, project team personnel, and new vendors on the current Expediting process.
- Manage assigned equipment, material, and logistics to ensure on-time readiness and delivery to site following the project and construction schedule.
- Oversee all vendor equipment/material documentation and logistics between the vendor, Engineering (or Engineering Consultant), and internal Project teams to ensure prompt approval periods.
- Ensure receipt of all required documentation, including approvals if applicable (e.g., drawings, RFIs, Inspection Test Plans (ITP), Weld Procedure Specifications (WPS), and Final Vendor Data Requirements (VDR)).
- Review vendor fabrication schedules, Inspection and Test Plans, Inspection Reports, and other critical vendor and PO data to avoid delays.
- Notify important partners of potential or actual delays and work with suppliers to resolve issues.
- Administer, schedule, chair, minute, and manage vendor supply meetings; attend project meetings.
- Report to stakeholders on equipment/material status, progress, and receiving status using required reporting formats.
- Review and verify invoices for accuracy.
- Work with vendors and stakeholders to resolve freight claims, investigate quantity shortages/overages, shipment errors, and tagging issues.
- Communicate potential commercial and technical issues to Project team members and stakeholders.
- Coordinate logistics for delivery of equipment/material to site and ensure readiness and proper equipment for off-loading shipments.
- Coordinate activities and communicate with key stakeholders.
- Maintain updated electronic records for PO/Contract closeouts by creating, organizing, and managing expediting files.
- Consult and report with Team Lead and/or Manager on Project, PO, or Contract updates.
Requirements
- Minimum 9 years of applied experience in expediting.
- Experience with expediting best practices and understanding of logistics, purchasing, and project document requirements.
- Post-secondary education in a related field (e.g., Project Management, Purchasing/Supply Chain Management, Business Administration, Finance).
- Equivalent combination of experience, training, and/or education.
- Ability to manage timelines and work on diverse projects with conflicting deadlines.
- Working knowledge of engineering and vendor documentation.
- Understanding of Incoterms, shipping methods, and warehousing strategies.

Pay
The base salary range for this position is $30.00 - $35.00 per hour, dependent upon experience, qualifications, and skills.
