Executive Search Coordinator
Location: Indianapolis, IN with occasional travel to Columbus, IN (~12 days per month on-site).
About the role
The Global Executive Search team is a newly formed function providing senior executive search leadership and consultative services across all Cummins regions and business units. We partner closely with business leaders and HR partners to identify internal and external candidates for senior leadership roles, and provide talent advisory services including external talent mapping, competitive market intelligence, and pipelining to support critical roles and succession planning.
The Executive Search Coordinator directly supports the US and Canada region and partners with the global search team on process management, database/systems management, and knowledge management initiatives. This role focuses on optimizing processes to deliver a best-in-class candidate experience for executive-level talent and stakeholder engagement.
Responsibilities
- Own the interview coordination process throughout each search to ensure a high-touch recruitment experience for candidates and clients, including scheduling interviews, assessments, and other recruitment activities while ensuring all logistics are in place and all parties are well-informed.
- Maintain and update recruitment databases and tracking systems to ensure accurate, up-to-date information.
- Coordinate background screenings and pre-onboarding activities for selected candidates.
- Support the preparation of requisitions and employment offers, ensuring compliance with company policies and legal requirements.
- Provide administrative support to the executive search team, including managing calendars, organizing travel arrangements, and preparing agendas, status reports, and client presentations.
- Deliver a "white glove" standard of service for all stakeholders (candidates, hiring leaders, HR partners, interviewers) through all stages of the search process.
- Partner with the executive search team on process improvement projects and contribute ideas for more effective ways of working.
- Gather, verify, and enter data into reports and systems to maintain reliable information supporting decision-making.
- Coordinate documents, scheduling, and meeting logistics to keep operations running smoothly with minimal supervision.
- Provide research and statistical reporting to give leaders insights for strategic decision-making.
- Respond to inquiries and prepare correspondence to represent the executive search function professionally and ensure timely, accurate communication.
- Document policies and procedures to ensure continuity, compliance, and clarity for current and future team members, strengthening collaboration and team capability.
- Serve as the point of contact for candidates and leaders on interview days, including escorting candidates to appropriate rooms.
Requirements
- High school diploma or equivalent; Bachelor’s degree preferred.
- Significant relevant work experience or specialized skills obtained through education, training, or on-the-job experience.
- 3+ years of proven experience in recruitment coordination or a similar role, preferably in executive search or high-level recruitment.
- Strong organizational skills with the ability to manage multiple tasks, remain highly organized, and shift priorities effectively.
- Proficient in recruitment software and databases; advanced user of Microsoft Office Suite.
- Strong communication and interpersonal skills, with the ability to build relationships with candidates and key stakeholders.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Familiarity with employment laws and regulations.
- Exceptional follow-through, attention to detail, and a strong sense of "customer care."

Pay
The salary range for this role is $56,800 – $85,200. The final salary offer will be determined based on a candidate’s qualifications and experience.
