About the role

This onsite role is based at Lurie Children’s Hospital in Chicago, with a standard 40-hour workweek and flexibility for occasional early morning or evening meetings.

Responsibilities

  • Collaborate with executive leader(s) to align work and priorities.
  • Manage and gatekeep the executive’s schedule, ensuring availability for key meetings and reprioritizing as needed.
  • Meet frequently with the executive to review departmental projects and ensure adequate administrative support.
  • Provide advanced administrative support, including prioritizing appointments, producing documents, and managing executive priorities.
  • Assist with meeting management, including developing and distributing agendas, meeting materials, and notes.
  • Coordinate on- and off-site events, including logistics for venues, vendors, catering, AV, telecom, and budget adherence.
  • Lead administrative projects as assigned by the executive leader.
  • Produce professional correspondence, reports, and presentations adhering to branding and marketing guidelines.
  • Design, monitor, and improve processes for the executive(s), supporting staff in defining and documenting workflows.
  • Analyze problems, interpret operational needs, and collaborate with the executive to develop solutions.
  • Oversee the executive’s travel, create itineraries for client/candidate visits, and coordinate event speakers/participants.
  • May supervise lower-level administrative staff.
  • May assist in budget creation and expenditure approval.
  • Perform other job functions as assigned.

Requirements

  • Bachelor’s degree preferred.
  • 7–10 years of experience working with executive leaders in highly complex organizations.
  • Experience in business or healthcare coordinating and improving workflows for senior leaders in fast-changing environments.
  • Proactive mindset with the ability to anticipate and prepare ahead of needs.
  • Detail-oriented with strong skills in managing multiple, deadline-driven priorities with minimal direction.
  • Exceptional oral and written communication skills.
  • Intermediate to advanced project management experience.
  • Adept at creating complex documents, presentations, spreadsheets, reports, and business correspondence.
  • Strong process management and time management skills.
  • Ability to provide high-level customer service to employees, leaders, patients/families, and external vendors.
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint; Microsoft Project experience a plus.

High School Diploma/GED required.

Pay

The pay range for this position is $31.50–$51.50 per hour. Compensation is competitive and aligned with market rates and internal equity, reflecting individual contributions, experience, and expertise.
